Role Overview
This is a full-time opportunity for a highly polished Personal Assistant and House Manager to support a sophisticated private residence on the Upper East Side of New York City. The role centers on proactive personal support, high-end household coordination, and maintaining a calm, immaculate, and well-run home environment.
The position suits someone who is highly organized, service-minded, discreet, and comfortable working in a fast-paced private-home setting where priorities can change frequently. A strong understanding of executive assistant/personal assistant calendar handling, travel planning, hospitality, and day-to-day household oversight is important. The work environment is comparable to luxury hospitality standards.
Schedule and Compensation
This is an onsite full-time position, typically Monday through Friday from about 10:00 AM to 6:00 PM. Some evenings and occasional weekends may be needed because the schedule can shift. Pay will be based on experience, and the package includes paid vacation plus selected holidays.
Key Responsibilities
You will support the principal, the adult child, and the household with daily coordination, planning, and hands-on assistance. The role involves anticipating changing needs, managing logistics, keeping household systems running smoothly, and ensuring the residence always feels organized and guest-ready.
Principal and Personal Support
- Provide attentive daily assistance to the principal, adult child, and household.
- Stay ahead of changing priorities and help keep the day organized.
- Coordinate appointments, logistics, travel, and household-related needs.
- Prepare daily essentials such as wardrobe choices, accessories, meals to go, and event items.
- Handle errands, bookings, returns, shopping, and special requests.
- Keep all matters confidential and exercise sound discretion at all times.
Wardrobe and Presentation Management
- Manage the care, organization, and upkeep of a large wardrobe and accessory collection.
- Maintain a detailed understanding of clothing, shoes, handbags, jewelry, and seasonal items.
- Check garments daily and ensure everything is cleaned, pressed, mended, and ready to wear.
- Arrange tailoring, dry cleaning, shoe repairs, and specialty garment care.
- Steam, press, sort, and prepare outfits for everyday wear, travel, and events.
- Support dressing preparation and ensure wardrobes remain meticulously organized.
Travel Preparation and Packing
- Complete detailed packing and unpacking for monthly travel.
- Follow wardrobe plans, outfit references, and packing instructions carefully.
- Make sure clothing and accessories are ready before departures.
- Coordinate shopping, garment preparation, and organization before and after trips.
Household Operations and Home Management
- Oversee the daily housekeeper who comes in each morning for a few hours.
- Monitor the home’s daily function and presentation.
- Perform walkthroughs to keep all areas clean, orderly, and ready for guests.
- Manage package handling, inventory tracking, and returns.
- Maintain household inventories, pantry stock, supplies, and vendor coordination.
- Schedule and oversee repairs, maintenance visits, and service providers.
- Keep storage systems and home inventories organized and current.
- Work with vendors, repair specialists, and household staff as needed.
Hospitality and Guest Service
- Create a welcoming, elevated experience for family members and regular guests.
- Set up guest rooms and arrange personalized amenities before arrivals.
- Act as the main contact for guest needs during their stay.
- Support entertaining, including formal dinners, gatherings, and larger annual events.
- Assist with hospitality for weekly business meetings held in the residence.
Household Support and Pet Care
- Manage grocery shopping and household provisioning for the family and guests.
- Help ensure household standards stay high with support from the part-time housekeeper.
- Provide complete care coordination for a small dog, including walks or dog-walker arrangements, feeding, grooming, and vet visits.
Candidate Profile
The right person will bring a warm, calm, and polished approach, with strong service instincts and excellent attention to detail. You should be comfortable managing several priorities at once, remain composed under pressure, and take pride in creating a smooth, refined home environment.
Strong communication skills, fluency in English, technical comfort with calendars, messages, lists, and household systems, and experience in luxury private homes or high-end hospitality are important. The role also calls for trustworthiness, flexibility, collaboration, self-motivation, a strong work ethic, and familiarity with Manhattan lifestyle and logistics. Excellent long-term references are required.
Additional Information
The schedule is described as constantly evolving, so flexibility for occasional evenings and weekends is expected. The residence includes support from a morning housekeeper and a part-time housekeeper who helps daily for a few hours to maintain standards.
