About the Role

TopDog Law, a rapidly expanding national personal injury law firm, has experienced 2-3x growth annually over the past three years. We are focused on developing scalable systems, infrastructure, and teams that preserve quality, cultural integrity, and accountability as we grow nationwide. This position offers an opportunity to join our high-growth organization at an early stage and contribute meaningfully to the employee experience through essential People Operations work.

You will collaborate closely with our Director of People Operations, a Talent Acquisition People Coordinator, and a People Operations Coordinator based in Guatemala, playing a pivotal role in ensuring smooth day-to-day operations.

Key Responsibilities

  • Manage comprehensive leaves of absence including FMLA, ADA, state-mandated leaves, personal, and military leave by overseeing intake, documentation, certification tracking, communication with employees and managers, return-to-work coordination, and record maintenance.
  • Ensure leave processes comply with federal, state, and local laws applicable to our operating regions and coordinate with payroll and benefits departments to maintain accurate tracking during leaves.
  • Serve as the first contact for employee relations queries, addressing concerns professionally and confidentially, assisting with investigations, documenting issues comprehensively, and guiding managers through sensitive personnel conversations and conflict resolution.
  • Maintain full compliance with employment laws by updating employee handbooks, policies, required postings, administering compliance training, and supporting audits and regulatory reporting.
  • Empower managers by providing daily operational guidance on people-related issues, consistent performance management, disciplinary processes, accommodations, and employee relations to promote uniform application of policies.
  • Document, standardize, and enhance People Operations workflows, creating templates, SOPs, and resources that improve team efficiency and reduce repetitive efforts.
  • Administer HRIS (Rippling), ensuring accurate employee records and lifecycle management, supporting benefits administration and payroll accuracy, and collaborating with teammates in Guatemala on shared processes.
  • Lead the pre-event onboarding experience for new hires before the official monthly New Hire Day, conducting orientation calls to introduce company culture, values, benefits, and key People technology platforms to facilitate smooth integration.
  • Adapt to evolving priorities by supporting additional People Operations projects and initiatives as directed, demonstrating flexibility in a dynamic work environment.

What Success Looks Like

  • Accurate, timely, and fully compliant management of leaves of absence.
  • Consistent and thorough handling of employee relations cases with proper documentation and resolutions or escalations.
  • Managers feel well-supported and knowledgeable on People Operations engagement.
  • Documented and repeatable operational processes.
  • Complete compliance across all operational jurisdictions.
  • HRIS data maintained in audit-ready condition.
  • Routine administrative burdens lifted from the Director of People Operations to enable focus on strategic priorities.

Qualifications

  • Minimum of five years’ experience owning substantial People Operations responsibilities.
  • Proven expertise administering leaves including FMLA, ADA, and varied state leave laws.
  • Skilled in employee relations management including investigations, documentation, and managerial coaching.
  • Strong understanding of multi-state labor laws and compliance requirements.
  • Experience in developing, documenting, and enhancing process workflows.
  • Exceptional judgment and discretion handling sensitive information confidentially.
  • Highly organized with acute attention to detail and reliable follow-through.
  • Excellent written and verbal communication skills delivered professionally and clearly.
  • Ability to juggle diverse tasks efficiently, prioritize effectively, and take initiative.

Preferred Qualifications

  • Familiarity with Rippling or similar HRIS and workflow automation platforms.
  • Background in legal, professional services, or client-facing environments.
  • Experience supporting distributed or remote teams.
  • Comfort with ambiguity and evolving processes in fast-paced growth settings.

Compensation

The salary for this full-time remote role within the United States ranges from $89,000 to $109,800 annually.
