Role Overview

The Payment Operations Specialist will join the Operations team and report to the VP, Corporate Services & Operations. This position is focused on invoice handling, payment coordination, vendor support, treasury administration, and process improvement, with a strong emphasis on organization, accuracy, and automation.

Key Responsibilities

  • Check incoming invoices for accuracy and completeness, then route them for the required approvals before submission.
  • Work with accounting, property management, operations, and department leaders to secure approvals quickly and resolve any mismatches or questions.
  • Keep vendor profiles up to date and act as the first contact for vendor-related questions.
  • Monitor invoice and payment progress, following up when needed so nothing gets stuck or delayed.
  • Support month-end close tasks, including accounts payable aging reports and account reconciliations.
  • Help with daily treasury administration and coordinate related tasks across internal teams.
  • Learn current treasury workflows, document them clearly, and identify opportunities to improve them.
  • Organize, file, and maintain payment, treasury, and vendor records using consistent naming and folder standards.
  • Develop and roll out AI-assisted workflows to streamline document handling, routing, approvals, and reporting wherever practical.

Required Qualifications

  • 2 to 4 years of experience in an administrative, operations, or coordination position.
  • Prior exposure to payment processing, including wires, EFTs, and ACHs.
  • Solid understanding of KYC, AML, and compliance requirements.
  • Ability to learn quickly and identify ways to improve workflows right away.
  • Strong attention to structure and organization, especially around consistent naming and recordkeeping.
  • Genuine interest in AI tools and process automation, with a willingness to test and adopt new technologies.
  • Comfort managing several priorities and deadlines while keeping a proactive, dependable follow-through style.
  • Clear written and verbal communication skills, including the ability to document processes simply and coordinate professionally across teams.
  • Strong Microsoft Office skills, particularly Excel; experience with accounting or document management systems is an advantage.

Preferred Qualifications

  • Familiarity with Yardi software.
  • Practical experience using AI tools such as ChatGPT, Claude, or Microsoft Copilot in a job or project setting.
  • Exposure to workflow automation tools.
  • Background in accounts payable, banking, or broader finance operations.
  • Associate’s or Bachelor’s degree in Business Administration, Operations, or a related area.

Compensation and Benefits

The base annual salary range for the primary location is CAD 50,000 to CAD 75,000. This range may reflect different career levels within the organization and will be narrowed during the interview process based on experience and qualifications.
