Job description
Role overview
This position is focused on managing the full parts workflow in an auto collision environment, from initial request through ordering, receipt, tracking, distribution, and return handling. The role also includes close coordination with technicians, estimators, vendors, and management to keep repairs moving efficiently and documentation accurate.
Core duties
- Handle parts requests end to end, including ordering, receiving, and delivering parts to technicians.
- Stay in contact with vendors regarding parts status and service arrival estimates.
- Inspect incoming parts, confirm they match requirements, and check for any damage or discrepancies.
- Coordinate with technicians on repair timing when parts issues affect panel work.
- Enter parts invoices into the shop system on the same day the order is received.
- Scan invoices and related paperwork into the shop records each day the order arrives.
- Manage returned parts and pursue vendor credits.
- Oversee sublet items such as wheels, glass, bumpers, and similar vehicle-related components.
- Review supplement parts needs with technicians and relay vehicle parts or sublet needs to estimators.
- Work with body technicians and mechanics to address parts requirements.
- Maintain repair order records and ensure documentation is complete.
- Label and store parts properly to avoid damage or loss.
- Keep the parts office and shelving clean, orderly, and organized at all times.
- Negotiate with vendors when damaged parts require additional discounts.
- Confirm that vendor discounts are applied correctly.
- Ensure every ordered part has a purchase order in the estimating system.
- Post all invoices received each day by the end of business.
- Maintain detailed records for smooth and timely returns.
- Follow up with vendors within 24 hours after a return to confirm credits are issued and recorded.
- Inform management and estimators about any quantity or quality issues with received parts.
- Use Parts Trader and OPS Trax for parts-related work.
- File invoices every day.
Experience and working level
This role calls for entry-level to intermediate experience in the relevant discipline. The work is routine, closely supervised, and offers limited room for independent judgment.

This is an in-office position based in Bakersfield, California.
