Role Summary

The Owner’s Representative, Renovations will oversee renovation, acquisition-rehab, capital improvement, and repair work across KCG’s multifamily portfolio. This position acts on behalf of KCG and ownership to make sure projects are properly defined, budgeted, scheduled, communicated, executed, documented, and closed out in line with company standards.

At the beginning, the role will primarily manage owner-side oversight of third-party general contractors handling acquisition-rehab and renovation assignments. Responsibilities will include monitoring contractor performance, handling project risk, reviewing schedules and budgets, and checking pay applications, change orders, quality, safety, documentation, and closeout.

As KCG grows its acquisition-rehab renovation platform, the position will also support projects where KCG serves as the general contractor and outsources renovation work to subcontractors, vendors, and trade partners. In that setting, the role will help coordinate subcontractors, vendors, site logistics, schedules, budgets, quality checks, resident impacts, and overall execution.

The best fit will bring a blend of owner’s representative experience and practical general contracting experience in renovations, along with strong knowledge of subcontracting, occupied multifamily work, project delivery, budgeting, scheduling, quality control, and stakeholder communication. The position will work closely with Construction, Asset Management, Property Management, Maintenance, Development, Accounting, and outside partners.

Renovation Planning and Preconstruction

  • Work with KCG leaders and internal teams to identify, prioritize, and organize renovation and capital improvement efforts.
  • Carry out site inspections, property reviews, and condition assessments to verify project needs, constraints, resident impacts, and operational factors.
  • Build, refine, and evaluate scopes for unit upgrades, common-area improvements, amenity enhancements, building system replacements, exterior repairs, deferred maintenance, accessibility work, energy-efficiency improvements, and other capital projects.
  • Help prepare early-stage budgets, schedules, phasing plans, bid documents, and procurement approaches.
  • Coordinate with architects, engineers, consultants, inspectors, utility companies, and authorities having jurisdiction when design, permits, testing, inspections, or approvals are required.
  • Gather, compare, and analyze contractor and vendor proposals, then recommend options to the appropriate KCG decision-makers.
  • Confirm that scopes reflect funding requirements, code obligations, accessibility standards, insurance conditions, green building expectations, and KCG quality benchmarks.
  • Identify risks tied to existing conditions, occupied buildings, resident access, lead times, utilities, permitting, sequencing, and budget exposure before work starts.

General Contractor Oversight

  • Act as KCG’s owner-side point of contact for renovation work performed by third-party general contractors.
  • Track contractor performance against the approved scope, schedule, budget, contract terms, safety expectations, quality targets, and project commitments.
  • Review schedules, look-ahead plans, manpower planning, procurement logs, sequencing, and critical path activities.
  • Take part in project meetings, OAC meetings, renovation coordination sessions, pre-installation meetings, site walks, and issue-resolution discussions.
  • Prepare agendas, follow action items, review meeting notes, and close out open items to keep work moving.
  • Coordinate responses to RFIs, submittals, supplemental details, field directives, sketches, bulletins, and design clarifications.
  • Evaluate pay applications, change-order requests, allowance usage, contingency usage, job-status reports, and backup support.
  • Maintain logs for change orders, issues, decisions, risks, and budget exposure.
  • Conduct site visits to assess progress, workmanship, site conditions, safety, resident impacts, and adherence to the approved scope.
  • Escalate concerns when contractor quality, cost, or schedule performance falls short of expectations.
  • Help resolve field conflicts, design issues, access limitations, operational disruptions, and coordination challenges.
  • Ensure punch lists are created, tracked, completed, verified, and documented before final acceptance.

In-House Renovation Project Management

  • Support and manage acquisition-rehab and renovation projects where KCG serves as general contractor and uses subcontractors, vendors, and trade partners for the work.
  • Develop, review, and keep current the scopes, bid packages, subcontractor assignments, budgets, schedules, vendor assignments, material needs, submittal tracking, procurement, plans, and execution plans.
  • Work directly with vendors, subcontractors, suppliers, consultants, property teams, maintenance teams, and internal stakeholders.
  • Manage startup, site access, resident coordination, mobilization, material procurement, work sequencing, daily and weekly progress, quality checks, inspections, and completion tracking.
  • Measure subcontractor and vendor performance against approved scopes, timing, budgets, safety requirements, quality expectations, and KCG standards.
  • Support due diligence, scope validation, budgeting, bid leveling, subcontractor pricing review, and feasibility analysis for potential acquisition-rehab opportunities.
  • Partner with Property Management and Maintenance to reduce disruption to residents, leasing operations, site activity, and community standards.
  • Coordinate shutdowns, access notices, resident communications, temporary relocations, after-hours work, and other operational impacts as needed.
  • Review invoices, purchase orders, subcontractor bills, change requests, and supporting documentation for accuracy and fit with approved scope and budget.
  • Keep project records updated, including photos, schedules, budget changes, completion files, warranty records, subcontractor notes, and closeout documentation.
  • Help create repeatable renovation processes, vendor relationships, cost data, scope templates, reporting tools, and execution standards for KCG’s expanding acquisition-rehab platform.

Schedule and Operations Coordination

  • Create, review, and maintain renovation schedules and phasing plans.
  • Plan work around occupied units, resident needs, leasing timelines, maintenance operations, inspections, funding deadlines, and asset management priorities.
  • Monitor milestones, critical tasks, long-lead materials, utility coordination, permit timing, and inspection requirements.
  • Spot delays early and work with contractors, vendors, and internal teams on recovery plans.
  • Share project impacts with Residential, Property Management, Maintenance, Portfolio Management, and other affected groups.
  • Support portfolio planning by helping prioritize work based on urgency, funding, resident impact, asset performance, and operational needs.

Financial Management

  • Assist with budgets, rough-order-of-magnitude estimates, bid comparisons, forecasts, and cost tracking.
  • Review pricing from contractors and vendors for completeness, accuracy, fairness, and alignment with the scope.
  • Track committed costs, pending costs, approved changes, budget variances, allowances, contingencies, and possible exposures.
  • Review pay applications, invoices, change orders, purchase orders, and job cost reports.
  • Advise internal stakeholders on whether cost items should be approved, rejected, negotiated, or revised.
  • Support weekly and monthly reporting on budget status, schedule status, project risks, and unresolved decisions.
  • Help build repeatable renovation cost data, vendor pricing history, and scope templates to improve future planning.

Quality Control, Safety, and Compliance

  • Monitor renovation work for workmanship, completeness, code compliance, contract compliance, and alignment with KCG standards.
  • Perform regular site walks and document observations, deficiencies, safety concerns, resident-impact concerns, and corrective actions.
  • Verify that work follows approved plans, specifications, scopes, manufacturer instructions, applicable codes, and project commitments.
  • Coordinate inspections, testing, special inspections, permits, utility inspections, and consultant reviews as needed.
  • Ensure contractors and vendors keep job sites safe, clean, secure, and professional, particularly in occupied multifamily communities.
  • Work with Property Management and Maintenance on resident safety, access, notices, cleanliness, parking, staging, noise, and logistics.
  • Track deficiencies, punch items, warranty items, incomplete work, and corrective actions through completion.
  • Support compliance with Fair Housing, accessibility, LIHTC, funding-source, green building, insurance, and lender requirements when applicable.

Reporting and Documentation

  • Give regular updates to ownership and internal KCG stakeholders.
  • Prepare weekly summaries and monthly renovation reports with progress photos, schedule updates, budget status, change-order logs, risk items, open decisions, and upcoming milestones.
  • Maintain complete project files, including scopes, contracts, proposals, permits, schedules, RFIs, submittals, minutes, reports, photos, invoices, pay applications, change orders, punch lists, warranties, lien waivers, and closeout records.
  • Use KCG-approved project management systems and reporting tools so information stays current, accessible, and organized.
  • Coordinate information flow between Construction, Portfolio Management, Asset Management, Property Management, Maintenance, Accounting, Finance, Development, and outside partners.

Project Closeout

  • Lead or assist with closeout for renovation and capital improvement work.
  • Confirm substantial completion, final completion, punch list completion, owner acceptance, and final documentation.
  • Collect and review closeout materials such as warranties, O&M manuals, as-builts, final inspection approvals, lien waivers, attic stock records, and final invoices where applicable.
  • Transition completed work to Property Management and Maintenance teams.
  • Track warranty issues and make sure contractors or vendors complete warranty corrections promptly.
  • Capture lessons learned, recurring issues, vendor performance, cost trends, and process improvements for future work.
  • Handle other assigned duties as needed.

Experience and Skills Needed

KCG is looking for someone with experience in both owner’s representative and general contractor settings. A background of 5 to 10 years in construction project management, owner representation, renovation management, multifamily construction, capital improvement, or a closely related area is preferred.

The role calls for strong experience with renovation work, ideally in occupied multifamily, affordable housing, senior housing, student housing, or similar active operating environments. The ideal candidate should also have experience managing third-party general contractors for an owner, developer, or asset owner, plus hands-on coordination of subcontractors, vendors, trade partners, consultants, inspectors, and design professionals.

Success in this position also depends on understanding subcontractor-led renovation delivery, including bid solicitation, bid leveling, subcontractor selection, procurement, schedule coordination, and field execution. The job requires the ability to stay organized, communicate clearly, and manage multiple moving pieces across active renovation sites.
