Role overview

This opportunity is being shared for a partner employer, which will handle applications and the next stages of the hiring process. The position is for an Operations Specialist (Creative Production) in the United States.

You will help build the operational foundation behind a rapidly growing creative production team inside a global digital health product environment focused on AI-powered user experiences. The work centers on improving how creative output is planned, coordinated, documented, and delivered so teams can move quickly without losing consistency or quality. The role blends process building, project coordination, and day-to-day operational support, with a strong emphasis on automation and AI-enabled improvements that reduce manual effort and increase efficiency. It is a chance to influence how creative production runs in a data-led, product-focused setting with tangible impact.

What you'll do

  • Develop and keep up-to-date the systems, playbooks, documentation, onboarding resources, and operational structures that support scalable creative production.
  • Run recurring planning cadences such as weekly, monthly, and quarterly sessions, making sure priorities, owners, and deliverables are clearly defined.
  • Strengthen collaboration across teams by connecting producers, strategists, and platform partners, while keeping information moving smoothly and dependencies under control.
  • Spot opportunities to apply AI and automation to repetitive operational work, including reporting, tracking, scheduling, and documentation.
  • Work closely with MarTech and AI teams to design better workflows and more efficient operating models.

What we're looking for

You should bring a structured, detail-oriented approach to operations and be comfortable turning complexity into clear, repeatable ways of working.

  • Background in operations, project coordination, production operations, or business operations within a fast-moving environment.
  • Demonstrated ability to create and refine processes, systems, and documentation from the ground up.
  • Strong ability to stay organized while managing several workflows and stakeholders at once.
  • Clear communication and coordination skills across cross-functional partners and different seniority levels.
  • High attention to detail, accountability, and consistent follow-through.
  • Systems mindset with the ability to recognize bottlenecks, inefficiencies, and automation opportunities.
  • Genuine interest in AI, automation platforms, and modern operational tools such as Airtable, Notion, and project management systems.
  • English proficiency at B2 level or higher.
