Role Summary

The company is seeking a dependable, proactive professional to support operations and HR activities across Europe and beyond. The position combines business coordination, executive support, recruitment, and HR administration, with a strong emphasis on independent ownership, discretion, and adaptability.

In this role, you will work with leadership, international colleagues, local authorities, outside service providers, and candidates. The position requires someone who can manage sensitive matters professionally while helping streamline operations and support hiring across Europe and the US.

Operations and Executive Support

  • Oversee local administrative and operational activities for European offices.
  • Coordinate with authorities, banks, insurers, and other external stakeholders.
  • Support confidential operational matters such as compliance, legal follow-ups, and office-related issues.
  • Serve as the main local point of contact for resolving day-to-day operational challenges.
  • Provide administrative and coordination support to management so they can focus less on routine local tasks.
  • Contribute ideas and action steps to improve processes and make cross-border operations more efficient.
  • Assist international teams with business coordination and administrative needs.

HR and Recruitment

  • Take ownership of recruitment activities for Europe and the US.
  • Represent the company in candidate communication and employer branding efforts.
  • Manage the full hiring cycle, including sourcing, screening, interviews, offer handling, onboarding support, and probation review.
  • Handle delicate HR topics such as compensation discussions, labor law compliance, and employee relations.
  • Ensure hiring and HR practices align with local laws, business norms, and cultural expectations.
  • Support management and global teams with HR policies, procedures, and employee-related topics.
  • Keep HR and operational documentation accurate and current.

Requirements

  • German language fluency is essential.
  • Strong English communication skills are required.
  • You must be based in Berlin, Germany.
  • Background in business coordination, executive assistance, HR, recruitment, or a similar field.
  • Good understanding of the European business environment and labor regulations.
  • Ability to work independently across both operations and HR responsibilities.
  • Strong ownership, reliability, discretion, and problem-solving ability.
  • Excellent interpersonal skills for dealing with internal teams, external partners, and international applicants.
  • Careful attention to detail and the ability to manage confidential information responsibly.

Preferred Background

  • Experience in international or cross-border organizations.
  • Exposure to both operational coordination and talent acquisition.
  • Familiarity with European and/or US recruitment markets.
  • Knowledge of local administration, compliance, or office management workflows.
