Job description

Role purpose

This position supports the Human Capital function by helping execute day-to-day HR activities such as recruitment coordination, onboarding, training assistance, and core employee documentation. The role is focused on keeping HR operations running smoothly, maintaining accurate records, and facilitating communication across employees and internal departments.

HR administrative support

  • Help prepare onboarding packs, joining paperwork, ID card requests, and welcome communications for new hires.
  • Collect employee records in both paper and digital formats, including passports, visas, contracts, and policy acknowledgements, then scan and archive them properly.
  • Monitor outstanding documents and remind employees until all required information is received.

Data entry and record upkeep

  • Update HRMS systems or spreadsheets with information for new joiners, exits, and employee changes.
  • Keep trackers current for medical insurance, visa validity, contract renewals, and leave balances.
  • Make sure records remain accurate, consistent, and compliant with audit and policy standards.

Employee lifecycle support

  • Coordinate with Administration and PRO teams for medical appointments, visa renewals, and document collection or delivery.
  • Draft standard HR letters such as address verification and salary certificates using approved templates and supervisor guidance.
  • Assist with exit processes by collecting ID cards, tracking clearance forms, and maintaining separation logs.

HR events and communication support

  • Provide coordination support for HR events, townhalls, and employee engagement programs.
  • Share circulars, notices, and feedback forms, then help compile the responses received.
  • Keep HR filing areas organized by labeling and sorting employee files correctly.

Compliance and policy assistance

  • Maintain employee files according to company audit and compliance requirements.
  • Support internal and external audit preparation by making records and documents available when needed.
  • Escalate missing documents or inconsistencies to the Executive or Senior Executive for follow-up.

Cross-functional collaboration

  • Work closely with Payroll, Administration, IT, and other teams to support smooth employee service delivery.
  • Respond politely and professionally to staff questions and guide them on routine HR procedures.

Experience profile

The preferred candidate is someone with 1 to 3 years of progressive experience in HR, HRMS, or administration, ideally within a retail environment. The source also mentions experience in cross-functional collaboration, customer engagement, and achieving or exceeding store sales KPIs.
