Job description

Role Overview

The Officer – Human Capital will provide essential administrative and operational support across a range of HR functions, ensuring that key people processes run smoothly. This individual plays a critical part in documentation, onboarding, HR record keeping, compliance, and staff communications, working directly with both the HR team and other departments to maintain efficient HR operations within the retail environment.

Main Responsibilities

  • Arrange onboarding materials and necessary paperwork, issue employee ID cards, and draft welcome communications for new hires.
  • Securely collect, digitize, and manage sensitive employee documentation such as passports, contracts, and visa-related materials.
  • Follow up with staff to obtain outstanding documents and ensure all files are current.
  • Record employee changes, new arrivals, and exits in HR management systems or tracking sheets accurately.
  • Maintain and update logs for health insurance, contract renewals, vacation records, and visa statuses.
  • Align all data with audit and policy requirements, ensuring accuracy and consistency at all times.
  • Coordinate logistics for pre-employment medicals, visa renewals, and official document exchanges with Administration and PRO teams.
  • Draft standard HR letters using templates, and assist with the offboarding process, including collecting company property and managing exit paperwork.
  • Support HR-led events such as employee briefings, townhalls, and engagement activities, and help distribute and gather feedback forms.
  • Organize and label HR filing systems, keeping both digital and physical records in order.
  • Assist in preparing for internal and external audits by providing organized access to HR documents.
  • Report missing or inconsistent file information to senior HR team members promptly.
  • Facilitate communication between HR, Payroll, Admin, and IT to resolve staff queries and deliver quality internal service.

Desired Experience

Candidates should possess between 1 and 3 years of professional experience spanning human resources, HR information systems, or office administration. A history of promoting collaboration across different departments, fostering improved employee engagement, and contributing to meeting or exceeding business KPIs—particularly in retail—will be highly valued.
