Position Summary

We are seeking an experienced Office Manager & HR Administrator to join our Stuttgart office, responsible for overseeing daily office operations while maintaining a professional and efficient work environment.

Key Responsibilities

  • Manage day-to-day office functions ensuring a smooth and professional workplace atmosphere.
  • Coordinate facility management tasks including maintenance, external service providers, office equipment, and contract management.
  • Organize meetings, host visitors, arrange company events, and manage business travel logistics.
  • Administer company vehicles, lease agreements, fuel cards, insurance policies, and IT equipment.
  • Support onboarding and offboarding procedures in collaboration with IT and various departments.
  • Oversee employee benefits and coordinate company pension schemes.
  • Prepare and review monthly payroll data with external payroll providers, including documentation and addressing employee inquiries.
  • Assist in overall corporate administration, streamline administrative and HR-related workflows, and support recruitment and interview processes.

Candidate Profile

  • Completed commercial training (e.g., office management clerk, industrial clerk) or equivalent qualification; additional HR certifications or business studies are an advantage but not mandatory.
  • At least 3 years of professional experience in office management, personnel administration, executive assistance, or related roles.
  • Valuable experience within an international corporate environment.
  • Proficient with Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, and Teams.
  • Familiarity with ERP systems as well as HR and payroll software is beneficial.
  • Strong organizational, time management, and communication skills.
  • Proactive, structured, and solution-focused work style with excellent attention to detail.
  • Ability to work independently and cross-departmentally.
  • Excellent command of German and English, both written and spoken (minimum C1 proficiency).
