The Role

As the Office & Administration Coordinator, you will help keep the Mornington HQ running smoothly every day. Your work may range from preparing specialty oat lattes for client meetings and arranging the monthly themed chef to assembling onboarding packs or getting Chain Place ready for workshop days.

You will partner with the Events Manager on event administration, including seating cards, guest enquiries and event logistics. You will also manage the Chain inbox, support onboarding with HR, assist with OHS and technology tasks, and provide occasional personal assistant support to the Founder & CEO.

This is an active, high-impact role rather than a front-desk-only position. It plays an important part in keeping HQ efficient and giving you a close view of how a leading agency operates.

Key Responsibilities

  • Maintain a tidy, well-stocked, safe and presentation-ready office, including coordination of cleaners, supplies and trades.
  • Handle meeting-room preparation, catering, barista coffee service, tea and juice stations, themed chef arrangements and team connection activities.
  • Assist the Events Manager with event administration such as placecards, collateral, RSVP tracking, attendee questions and logistical coordination.
  • Oversee the main inbox, manage post and meeting preparation, and provide ad hoc executive and PA support to Shelby and the senior leadership team.
  • Support client gifting, onboarding materials, branded merchandise and first-day readiness for new starters.
  • Administer workplace health and safety processes alongside HR, including first aid kits, fire wardens, evacuation planning and safety documentation.
  • Maintain the tech register and asset records with HR, liaising with the IT provider on support and equipment replacement cycles.
  • Help operate Chain Place once it opens by managing venue setup, pack-down and hospitality for bookings and workshop sessions.

Ideal Candidate

The right person will be extremely organised, able to think ahead and manage many moving parts without missing details. You should be comfortable solving problems calmly when plans change, and you’ll thrive if you enjoy learning quickly, taking initiative and working independently.

You’ll bring professionalism, warmth and a positive attitude that helps the whole team. A Victorian driver’s licence is required for local errands, and you should either already have first aid certification or be willing to obtain it after joining.
