Job description
Role overview
This position supports the daily functioning of a library environment in Dubai. The role combines administrative coordination, visitor assistance, circulation support, records handling, and service-quality follow-up to help keep operations organized and user-focused.
Key duties
- Assist with everyday operational tasks and ensure approved procedures and workflows are followed.
- Maintain the department manager’s daily schedule and help coordinate appointments and commitments.
- Plan, organize, and coordinate internal and external meetings, including preparing all related files and documents.
- Draft minutes for meetings and follow up on the implementation of decisions as required.
- Handle incoming and outgoing documents for the department in line with the authority’s systems and procedures.
- Sort, archive, and maintain paper and electronic files efficiently and accurately.
- Support the execution of department activities, events, and projects.
- Help prepare periodic and annual reports and presentations covering achievements, challenges, and improvement suggestions, as directed.
- Welcome visitors, accompany them when needed, and guide them to the library’s facilities, collections, services, and events while providing the information they need.
- Offer informational support to visitors searching catalogues and databases.
- Manage book lending and returns, monitor due dates, and resolve routine customer issues.
- Carry out annual book inventory work, weeding, donation-book receipt, and binding tasks.
- Receive new materials and verify that they match the recorded data.
- Conduct daily inspection rounds in different library areas to ensure cleanliness and correct shelving of books according to the approved system.
- Record maintenance needs related to buildings, equipment, and office devices.
- Complete procedures for space booking requests submitted by customers.
- Follow up on the application of global star-rating standards and coordinate initiatives and projects arising from evaluation results with other departments.
- Review centre performance reports, mystery shopper findings, survey results, and happiness index feedback, and propose corrective actions.
- Track any matters related to improving service quality and customer happiness, implement recommendations from the main team responsible for seven-star service requirements, and consolidate ideas related to service improvement and employee happiness into development initiatives.
- Protect the confidentiality of all work, information, data, and correspondence handled in the role.
- Comply with information security policies and procedures, keep data confidential, and report any violations or breaches to the Information Security Officer.
- Follow the authority’s occupational safety, health, and environmental management policies and instructions.
- Perform any other job-related duties assigned.
Qualifications
