Job description
Role overview
This role supports the Intellectual Property team with day-to-day legal administration and portfolio coordination. The position is based in Singapore and is focused on trademark and patent work, with a mix of document handling, deadline management, filings, and stakeholder coordination.
Key duties
- Assist the IP team with routine legal administration, including invoicing, internal document filing, matter tracking, document execution, and organizing records.
- Track and monitor procedural timelines for the trademark and patent portfolios, such as renewal dates and response deadlines.
- Handle support work for official filings by preparing trademark and patent application documents, compiling evidence, and coordinating recordals and submissions with external counsel and IP offices.
- Keep trackers, portfolio databases, and status reports accurate and up to date.
- Communicate with internal teams, outside counsel, and IP authorities on routine matters and follow-up actions.
- As experience grows, contribute first-pass analysis and review on standard IP matters under supervision.
- Carry out other related responsibilities as assigned.
Requirements
- At least 3 years of relevant professional experience is required.
- Previous exposure to intellectual property work, especially trademarks and patents, either in a law firm or an in-house legal team.
- Ability to work comfortably in structured, process-heavy administrative tasks and deliver them accurately.
- Strong capability in deadline tracking, follow-ups, multitasking, and handling a fast-paced, changing environment.
- Must be ethical, discreet, and able to safeguard confidential information.
- Highly organized, detail-oriented, and committed to producing quality work.
- Good written and verbal communication as well as interpersonal skills.
Additional information
This is a full-time onsite position in Singapore. The role is centered on intellectual property operations and includes the possibility of expanding into more substantive review work over time, under supervision.
