About the role
This position is responsible for overseeing and representing the COO’s office, delivering discreet and high-standard administrative support. The role serves as the central contact for the COO’s Office and contributes to shaping, executing, and reviewing departmental strategy.
Key responsibilities
- Draft administrative reports and analyses, take ownership of improving policies and procedures, and help clarify company rules while resolving administrative matters with Finance, Contracts, and Legal teams.
- Support business documentation needs by preparing reports, presentations, and spreadsheets.
- Plan, organize, and prioritize team work, track action items, and report progress.
- Solve complex administrative issues independently while working within the company’s structures, standards, processes, and tools.
- Improve and supervise administrative workflows and information systems so operations remain efficient and streamlined.
- Serve as the main contact for communication with internal stakeholders and external parties connected to QR Group.
- Handle questions and information requests, explain policies and procedures, and help management and staff better understand the business and internal setup.
- Coordinate internal and external communication, arrange management meetings, and attend meetings when needed to record minutes.
- Raise important issues to the COO and support the search for practical solutions.
- Partner with the business on organizational strategy matters such as manager transfers, structural changes, and long-term planning.
- Support annual departmental budgeting and reporting with Business Finance, and provide routine budget updates to the COO.
- Coordinate special projects, collect updates on work in progress, and report progress to the Line Manager.
- Carry out other duties as needed to support the effective running of the unit.
Requirements
- Bachelor’s degree or an equivalent qualification, along with at least 4 years of work experience in a related role.
- Background in database administration.
- Experience in project management.
- Strong interpersonal and relationship-building abilities.
- Comfortable maintaining productive working relationships.
- Client-oriented, commercially aware, and experienced in dealing with senior management.
- Strong proofreading skills with a high level of accuracy.
- Ability to produce detailed and accurate reports independently.
- Advanced computer proficiency, particularly in Microsoft Word, Excel, and PowerPoint.
- High degree of discretion, professionalism, and sensitivity.
- Strong planning ability and close attention to detail.
- Self-motivated and capable of working with limited supervision.
- Able to perform well under pressure and meet fixed deadlines.
- Leadership capability, including delegation, clear direction-setting, workflow management, staff development, and teamwork building.
