Role Overview
We are seeking an Invoicing Assistant to collaborate closely with the Billing Manager in shaping the department's vision and strategic direction. This role involves playing a pivotal part in the finance organization’s transformation and cultural change, contributing to ongoing integration and continuous improvement efforts.
Key Responsibilities
- Execute daily and monthly invoicing tasks related to both operational and technical billing processes.
- Prepare consolidated monthly backup documentation and invoicing for significant national clients.
- Coordinate with internal teams to identify and resolve recurring issues.
- Record and monitor daily KPI data to enhance performance and decrease invoice discrepancies.
- Authorize credit notes while ensuring adherence to business policies.
- Respond promptly to client invoice queries, maintaining service within agreed service level agreements.
- Serve as the primary point of contact for client billing inquiries, delivering excellent customer service.
- Work to minimize invoice queries linked to rebate processing that lead to credit notes.
- Effectively manage workload to meet monthly invoicing deadlines.
- Take on additional duties as assigned by the Billing Leader and Head of Shared Services.
Candidate Requirements
- Possession of a relevant accounting qualification such as AAT.
- At least three years' experience in financial shared services or a billing environment.
- Preferably experience within the FMCG sector managing numerous clients.
- Working knowledge of ERP and financial systems, particularly M3.
- Proficiency in Microsoft Office applications including PowerPoint, Word, and Excel.
- Strong communication skills with the confidence to engage at management levels.
- Self-motivated with an ability to prioritize tasks independently.
- Experience in applying process improvement techniques and operational excellence.
- Track record of developing and sustaining strong relationships with key business stakeholders.
- Demonstrated ability to leverage KPIs to consistently monitor and drive service quality and performance.
- Excellent organizational and analytical skills to handle competing demands.
