Job description
Role overview
The Inventory Management and Purchasing Officer is responsible for buying forensic laboratory supplies and making sure stock distribution, rotation, and stocktakes are completed correctly. The position also provides support to the Finance and Procurement functions.
Key responsibilities
- Safeguard the accuracy of laboratory inventory by carrying out regular stock checks, keeping records and inventory registers current, and completing other tasks needed to maintain inventory integrity.
- Prepare purchase requisitions and purchase orders for laboratory consumables, and match orders against received goods.
- Create goods receipt entries for stock deliveries, checking that pricing and unit-of-measure details are entered correctly.
- Carry out daily perpetual stock counts or annual stocktakes, as required, in line with the Department of Justice Finance Management Practice Manual (FMPM).
- Reduce waste by regularly reviewing stock usage, minimum stock levels, and reorder points.
- Look into and report stock variances, unusual consumable usage, and wastage identified by laboratories, and recommend corrective actions for the Manager, Finance.
- Develop and continually improve work instructions, manuals, and procedures related to inventory control.
- Prepare monthly reports required under the FMPM, and maintain inventory and financial records in accordance with legislative obligations, delegations, policies, standards, systems, and applicable laws.
- Prepare invoices and accounts payable extracts for financial processing and timely settlement of supplier accounts.
- Support scientific and external stakeholders with inventory-related requests, liaise with suppliers and outside organisations as needed, and advise on sourcing less frequently used or hard-to-obtain laboratory supplies through alternative supply channels.
- Ensure compliance with mandatory workplace health and safety requirements, including manual handling and emergency procedure training.
