Role summary
The Human Resources / Payroll Administrator will handle accurate monthly payroll operations, keep employee records up to date, and provide essential day-to-day HR administrative support. The position focuses on ensuring employees are paid correctly and in line with Saudi Labour Law and GOSI rules, while also supporting recruitment coordination, onboarding, benefits administration, and HR compliance tasks.
Payroll processing and administration
- Run monthly payroll with accuracy and punctuality, covering salaries, overtime, allowances, deductions, and end-of-service benefits.
- Make sure payroll activities comply with Saudi Labour Law, GOSI regulations, and relevant expatriate employment rules.
- Prepare payroll journal entries for finance and carry out monthly reconciliation of payroll-related accounts.
- Handle employee questions related to payroll and quickly resolve any discrepancies in a professional way.
- Maintain payroll documentation and produce payroll reports for management review.
HR records and data management
- Keep employee files complete, confidential, and accurate, including contracts, personal data, attendance, leave, and performance records.
- Update HR systems whenever employee status changes occur, such as hiring, transfers, promotions, salary revisions, or terminations.
- Draft HR letters and certificates, including employment letters, salary certificates, No Objection Certificates, and other required documents.
- Ensure all records follow internal procedures and local regulatory standards.
Recruitment and onboarding support
- Assist with recruitment coordination by managing job advertisements, interview scheduling, offer documentation, and candidate communication.
- Oversee onboarding paperwork, access requests for systems, and orientation support for new joiners.
- Support visa and work permit processing for expatriate employees in coordination with the relevant teams.
- Help with exit processing, including final settlement calculations and offboarding documentation.
Benefits and leave administration
- Administer employee benefits such as medical insurance, annual leave, sick leave, and statutory entitlements.
- Track leave balances accurately in the HR system and process leave requests.
- Coordinate with insurance providers on enrollments, policy changes, removals, and claims support.
Compliance and reporting
- Support compliance with Saudi Labour Law, Ministry of Human Resources requirements, and Saudization targets.
- Prepare HR reports covering headcount, turnover, overtime, and workforce localization metrics.
- Assist with internal and external audits by keeping documentation organized and accurate.
- Safeguard employee information and HR records with strict confidentiality.
Qualifications and requirements
- Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related discipline.
- At least 2 to 4 years of experience in HR administration and payroll work in Saudi Arabia.
- Strong working knowledge of Saudi Labour Law, GOSI regulations, and Saudization requirements.
- Prior experience with HRIS and payroll platforms; SAP HR or a similar system is preferred.
- Advanced Excel skills for payroll calculations and HR reporting.
- High attention to detail, strong professionalism, discretion, and integrity.
- Effective communication skills in both Arabic and English, spoken and written.
- Experience with expatriate visa and work permit processes is an added advantage.
