Role Overview

The Human Resources Coordinator plays an essential role within our HR team, responsible for implementing a comprehensive variety of HR activities with professionalism and efficiency. This position offers the option to work remotely. Responsibilities include managing the employee lifecycle such as onboarding, offboarding, and promotions while ensuring compliance with relevant laws and company policies. The Coordinator acts as a liaison between employees and management, fostering communication, engagement, and HR programs. Strong organization, attention to detail, and multitasking capabilities are critical. Additional duties involve supporting recruitment, overseeing HRIS functions, and nurturing a positive workplace environment.

Key Responsibilities

  • Oversee employee onboarding, offboarding, and promotion workflows.
  • Engage in staff meetings, seminars, and training programs.
  • Update and maintain organizational charts and HR records.
  • Issue employee badges and manage replacements.
  • Manage HR correspondence, including mail and document scanning for HR and Payroll teams.
  • Arrange the Executive Conference room and facilitate new hire orientations smoothly.
  • Conduct tours of campus facilities for new employees and visitors when requested.
  • Prepare and distribute recognition materials such as Employee of the Month awards.
  • Lead HR orientation sessions for new hires and coordinate onboarding activities with IT.
  • Draft and release weekly personnel announcements and updates.
  • Create and upload information regarding new hires and promotions to the ADP homepage weekly.
  • Coordinate Employee of the Month and Employee of the Year recognition programs.
  • Assist in interview scheduling and participate in HR meetings.
  • Maintain accurate HRIS data and generate reports as required.
  • Support recruitment for nonexempt, student, and temporary roles.
  • Ensure compliance with federal, state, and local employment and benefits laws.
  • Comply with HIPAA regulations regarding Protected Health Information and report any violations; complete required HIPAA training and demonstrate related competency.
  • Perform additional duties as assigned, demonstrating flexibility to meet evolving organizational needs.

Qualifications

  • At least two years of relevant experience in an HR role.
  • Bachelor's degree in Human Resources, Business Administration, or a related discipline preferred.
  • Proficient in Microsoft Office applications including Word, Excel, and PowerPoint.
  • Strong skills in organization and managing time effectively.
  • Excellent communication and interpersonal abilities.
  • High ethical standards with strict confidentiality.
  • Familiarity with employment laws and HR best practices.
  • Ability to juggle multiple priorities and adjust to changing demands.
  • Global and cultural awareness.
  • Experience with HRIS tools and recruitment procedures.
