Job description
Position Summary
The HSEQ Coordinator plays a crucial role in supporting the Infrastructure HSEQ function by managing reporting, system administration, action tracking, stakeholder collaboration, procurement assistance, and document control. This position ensures data accuracy, prompt follow-up on actions, effective performance monitoring, and audit-compliant documentation across all HSEQ activities.
Key Responsibilities
- Build and sustain productive working relationships with Infrastructure Operations, HSEQ teams, shared services, and other internal departments.
- Coordinate with relevant staff to gather, validate, and consolidate information needed for HSEQ reporting, presentations, meetings, and management reviews.
- Assist with preparing presentations aligned with terms of reference, meeting agendas, and management expectations.
- Document meeting minutes, disseminate agreed-upon actions, maintain action trackers, and follow up with responsible individuals until resolution.
- Support organizing HSEQ events, including meetings, workshops, and campaigns, managing logistics such as venue, travel, and accommodation as needed.
- Manage HSEQ-related applications and systems, coordinating with system owners and the HSEQ team to ensure proper usage.
- Review new issues logged in systems, assign and monitor actions, escalating any overdue tasks appropriately.
- Verify submission of evidential documentation and coordinate closure approvals with HSEQ specialists or managers.
- Schedule and track HSEQ compliance inspections through approved systems to maintain visibility of progress.
- Maintain records of investigations, evidence, and closure recommendations within the Document Management System.
- Aggregate data from multiple corporate systems (Safety Culture, SMIS, SAP, etc.) to prepare diverse HSEQ performance reports—weekly, monthly, quarterly, or as needed.
- Create and update analytical dashboards using Power BI, Excel, and other authorized tools, collaborating with IT and performance teams.
- Analyze HSEQ metrics to detect trends, highlight overdue actions or emerging risks, and present clear information to assist management decisions.
- Draft regulatory and corporate HSEQ submissions for technical review and approval prior to release.
- Manage procurement processes for HSEQ materials and services, coordinating purchase requisitions, contract releases, and service entries in SAP.
- Track committed and actual expenditures to assist HSEQ management in budget oversight.
- Maintain inventory of HSEQ consumables and equipment such as PPE, first-aid supplies, and monitoring devices; ensure timely restocking.
- Organize and secure the HSEQ storage area for easy traceability.
- Coordinate with building managers and HSEQ specialists to keep noticeboards and communications current.
- Maintain comprehensive, audit-ready records for HSEQ activities, including reports, action plans, procurement, training, equipment, and communications.
- Drive continuous improvements in reporting, tracking, and administrative workflows by identifying inefficiencies and proposing digital enhancements.
- Engage in ongoing professional development to stay current with HSEQ knowledge and skills.
- Carry out other reasonable duties relevant to the role’s scope and responsibilities.
Education and Qualifications
- Bachelor’s degree or equivalent in fields such as business administration, project management, engineering, environmental science, occupational health and safety, data analytics, or closely related disciplines.
- Excellent written and verbal English skills; proficiency in Arabic is advantageous.
- Professional certification in HSEQ, occupational safety, environmental management, quality management, or integrated management systems is preferred.
- Certification in Microsoft Office, Excel, or Power BI is an advantage.
- Possession of a valid UAE driving license is a plus due to potential travel across operational locations.
Experience
- A minimum of two years in roles involving coordination, business operations, project support, HSEQ administration, compliance monitoring, reporting, or analytics.
- Proven ability to manage multiple stakeholders, maintain action tracking systems, and prepare management-level reports.
- Experienced user of Excel for data analysis, visualization, and dashboard creation.
- Skilled in preparing professional presentations and written management reports.
- Familiarity with enterprise tools such as SAP, Power BI, Safety Culture, and SMIS is advantageous.
- Experience in infrastructure, transport, professional services, or similarly complex organizations is beneficial.
