About the Role
The New England Aquarium is looking for an Operations Coordinator to provide both administrative and programmatic assistance to the Volunteer Programs & Internships (VPI) team. This role focuses on maintaining smooth operations, ensuring accurate data management, and delivering quality service to employees, volunteers, and interns.
Role Details
- This is a six-month temporary position available either full-time (Monday to Friday) or part-time (Wednesday to Friday).
- The position offers a hybrid work schedule with at least one on-site day at the New England Aquarium in Boston.
- Remote work options are extended to residents of Massachusetts, Rhode Island, New Hampshire, Maine, New York, and Vermont.
Key Responsibilities
- Offer program and project support to the Volunteer Programs & Internships team.
- Manage data within the Salesforce-based engagement platform by correcting issues, customizing fields, generating reports, cleaning data, and accurately entering information.
- Handle incoming general inquiries from applicants and staff via phone and email, delivering excellent customer service.
- Create and distribute community announcements and email communications.
- Coordinate staff ID creation and distribution processes.
- Assist with uniform and benefit distribution.
- Organize and maintain paper and electronic filing systems to ensure records are compliant and easily accessible.
- Respond and prioritize inquiries promptly and professionally.
- Perform other related duties as assigned.
Qualifications
- Between 1 to 3 years of experience in supporting business office operations.
- Familiarity with data entry and processing; experience with HRIS or volunteer management software is advantageous.
- Preferred proficiency in Salesforce Administration.
- Strong skills using Microsoft Office applications.
- Awareness of and dedication to workplace inclusion principles and initiatives.
- Commitment to delivering excellent service, demonstrating approachability and openness.
- Ability to safeguard confidential information with strict discretion.
- Strong communication skills, capable of conveying clear information across various formats to all organizational levels.
- Ability to prioritize tasks effectively for optimal efficiency and work independently to maintain service quality.
