Job description
Position Summary
Reporting to the Department Manager, the HR/Finance Assistant will support HR and personnel operations by helping the HR/Personnel Coordinator with tasks such as UCPath, the I-9 tracker, the Oath and Patton process, and the upkeep of employee personnel records. The role also handles Bruinbuy and Travel Express transactions, provides administrative help to the Finance Coordinator and Student Services Advisor, and responds to email and other office-related requests.
In addition, this position will assist with daily front-office operations such as answering phone calls, sharing information, redirecting inquiries, taking and delivering messages, handling incoming and outgoing mail and packages, maintaining calendars, scheduling appointments, completing general administrative work, and running errands. The assistant will also contribute to academic program support and event planning, gather information for projects, submit equipment maintenance and repair requests, contact vendors, coordinate with other campus units on behalf of the department, and help with special assignments as needed. This role is a key part of the Department of Geography's administrative team and is important to the smooth functioning of the department.
Salary & Compensation

Qualifications
- Working knowledge of core administrative and financial procedures, especially those related to purchasing, travel, and reimbursements under university guidelines.
- Ability to work with, or quickly learn, systems such as BruinBuy, Travel Express, UCPath, and the I-9 Tracker while maintaining strong accuracy and attention to detail.
- Well-developed organizational skills to manage records, monitor requests, and keep office operations moving efficiently.
- Strong written and verbal communication skills for effective interaction with students, staff, faculty, and vendors.
- Capacity to manage confidential information responsibly and apply sound judgment.
- Comfort using Microsoft Word, Excel, and Outlook, along with willingness to learn additional tools as needed.
- Ability to juggle multiple tasks, stay organized, and meet deadlines despite frequent interruptions.
- Collaborative, positive attitude with the ability to work independently and provide support to others when needed.
Education, Licenses, Certifications & Personal Affiliations
A high school diploma or an equivalent combination of education and experience is required.
Special Conditions for Employment
