Role Overview

The Healthcare Operations Coordinator supports the smooth functioning of clinical service operations by providing administrative assistance directly under the guidance of the Operations Manager or higher management. This position involves tracking and managing business processes, invoice verification, data monitoring, and supporting special projects aligned with the organization's objectives. Responsibilities also include scheduling meetings and performing diverse administrative duties to aid leadership.

Key Responsibilities

  • Support development and documentation of internal organizational charts, workflows, policies, and standard procedures alongside operations leaders.
  • Deliver outstanding customer service and resolve conflicts with innovative solutions.
  • Organize, track, and distribute deliverables such as invoices and reports from partners and internal teams specific to service lines and departments.
  • Coordinate with operational leaders to facilitate daily functions and special projects.
  • Aid in coordinating initiatives and projects with various internal departments.
  • Act as liaison between multiple partners and staff across organizational levels.
  • Lead processing of employee expenses, monitor training records, software licenses, and other related administrative processes.
  • Ensure timely tracking, review, and validation of invoices while promptly identifying discrepancies.
  • Assist with audits and records examinations when directed by leadership.
  • Apply critical thinking to evaluate project requirements, identify gaps, and recommend improvements.
  • Maintain updates to the department’s SharePoint site.
  • Provide meeting scheduling and additional administrative support to the Operations Manager and leadership.

Required Qualifications and Experience

  • Bachelor’s degree required, or an Associate degree supplemented by two additional years of relevant experience.
  • A minimum of three years in administrative roles is mandatory.
  • Preference for candidates with at least one year of administrative experience within healthcare settings.
  • Experience with project management tasks such as meeting coordination, invoice tracking, or documentation maintenance is preferred.
