Role Overview

This newly created operational role focuses on ensuring operational excellence and compliant HR administration across Germany, the USA, and other global locations. Additionally, this position has a strategic dimension, driving the professionalization, standardization, and automation of HR infrastructure and People Operations processes to support worldwide growth.

Key Responsibilities

  • Manage the entire employee lifecycle including seamless onboarding via a global HRIS (Rippling), contract administration, and respectful offboarding.
  • Oversee operational excellence for international locations by proactively managing the US PEO partner and ensuring a smooth employee experience across time zones.
  • Serve as the primary contact for operational HR inquiries, enhancing support scalability through expanded self-service resources and clear documentation.
  • Maintain payroll-relevant data and prepare payroll accounting for Germany.
  • Ensure legally compliant HR administration with thorough digital personnel records and adherence to local regulations.
  • Act as a power-user for the Rippling HRIS, evaluating and implementing smart tools and workflows to reduce manual efforts and optimize People Operations efficiency.
  • Analyze existing processes, identify bottlenecks, and transform operational workflows into scalable systems.
  • Generate HR reports, headcount analyses, and ad-hoc evaluations.
  • Collaborate closely with Talent Acquisition and People teams in Düsseldorf and the USA to maintain a consistent employee journey.

Candidate Profile

  • 3-5+ years of solid experience in global People Operations with proven ability to not only handle HR processes administratively but also optimize them technologically.
  • Strong global mindset and payroll expertise, proficient with PEO solutions such as Rippling and Deel, and comprehensive knowledge of social security systems, Bluecards, and company pension schemes (BAV).
  • Process design and automation skills with a high affinity for AI, eager to implement smart solutions to streamline administrative workflows.
  • Proactive problem-solver with a hands-on approach, independently recognizing and addressing bottlenecks pragmatically.
  • Structured and calm working style, dependable under tight deadlines and in dynamic environments, driven by data and precision.
  • Empathetic team player with excellent service orientation, fluent in English and German.
  • Preference for an office-first work culture, working primarily on-site during the first year and potentially transitioning to more flexible arrangements afterward.
