Overview
Catbird NYC is seeking a Fulfillment and Shipping Assistant Manager to join our Brooklyn, NY team. This role involves assisting in project management, overseeing warehouse operations, leading people management efforts, and managing shipping logistics to ensure efficient fulfillment processes.
Responsibilities
- Contribute to and occasionally lead projects aimed at operational improvements, tracking progress, performing quality checks, and managing costs to meet project goals.
- Maintain partnerships with third-party vendors and assist in contract negotiations related to shipping and warehouse supplies.
- Collaborate with the Senior Warehouse Manager to analyze sales forecasts and plan labor and supply needs accordingly.
- Coordinate with departments like Customer Service, Merchandising, Purchasing, Retail, and HR to set clear objectives aligned with business goals.
- Effectively communicate across departments to solve complex issues and provide support.
- Lead warehouse activities related to Warehouse Management Systems (WMS), Order Management Systems (OMS), and ERP systems.
- Plan, assign, and oversee daily fulfillment tasks ensuring order accuracy and adherence to service levels.
- Maintain equipment and assist in resolving technical difficulties promptly.
- Collaborate with Customer Service and Inventory teams to quickly resolve order delays or changes.
- Enforce safety protocols via regular safety observations confirming tidy workspaces.
- Manage staff time off requests in line with company policies.
- Handle workload management during peak times, applying quick problem-solving skills as needed.
- Review order management reports to detect and resolve order discrepancies.
- Develop training resources tailored to diverse learning styles and promote ongoing operational improvements.
- Organize fulfillment operations for new store opening projects.
- Coach and support team members through training, feedback, performance reviews, and development planning.
- Conduct team meetings to communicate policy updates, product news, and weekly goals.
- Set fulfillment and shipping targets and motivate the team to achieve them.
- Participate in hiring interviews and provide feedback to HR management.
- Foster a positive team environment promoting harmony and collaboration.
- Monitor staff productivity using metrics dashboards to identify and improve inefficiencies.
- Supervise receipt and unloading of packaging materials, verifying packing slip accuracy.
- Manage inbound communication with third-party freight forwarders and coordinate shipments considering cost and timelines.
- Create shipping and return labels, send tracking information to customers.
- Coordinate with carriers to resolve lost, damaged, or delayed package claims.
- Oversee assembly and documentation of large, valuable, or fragile shipments.
- Hold meetings with shipping carriers to review service performance and update on scheduling changes.
- Organize daily workflows prioritizing shipments based on scheduled pickup or ship dates.
- Audit carrier invoices weekly to identify any rate changes or discrepancies.
- Maintain up-to-date knowledge of carrier routes and rates and communicate relevant changes internally.
- Ensure palletizing operations produce secure, well-labeled, and shipment-ready loads.
- Demonstrate proficiency in preparing and managing Bills of Lading.
Candidate Profile
- Minimum of 2 years managing a team of 10 or more in distribution or operations, including staffing and payroll oversight.
- Willingness to work overtime during peak seasons such as holidays.
- Possesses strong urgency and accountability to meet daily goals.
- Collaborative team player with a respectful and positive attitude.
- Excellent verbal and written communication skills.
- Effective time management and prioritization skills with ability to work independently and collaboratively.
- Data-driven problem solver proficient with warehouse management systems, G-Suite, and Excel.
Additional Information
This role requires onsite presence in Brooklyn, NY and is part-time. Flexibility to work additional hours during holiday periods is expected.
