Position Summary
The Freight Coordinator will manage daily freight forwarding activities to ensure shipments are processed efficiently and accurately, while maintaining superior customer service throughout the transport lifecycle. This role involves close collaboration with customers, carriers, customs brokers, truckers, and cross-functional internal teams for import and export shipments, adhering to company policies and customers’ specifications. Operating under established standard operating procedures, the coordinator will emphasize accuracy, regulatory compliance, and timely communication at all shipment phases.
Work Arrangement
This position primarily requires onsite presence at our office on Traders Boulevard East, Mississauga, Ontario (L4Z 3K7), with flexibility for on-site attendance as business demands.
Key Responsibilities
- Manage daily coordination of import and export freight shipments aligning with customer requirements and company guidelines.
- Create and maintain shipment files in CargoWise, ensuring all documentation is accurate and finalized before shipment arrival or departure.
- Track shipments daily and proactively communicate updates with customers, overseas agents, and internal parties.
- Schedule bookings with various carriers, airlines, steamship lines, truckers, and warehouses as necessary.
- Prepare and process essential shipping documents including bills of lading, manifests, commercial invoices, and customs paperwork.
- Complete all E-Manifest filings and regulatory compliance accurately within deadlines.
- Coordinate pickups, deliveries, and inland transportation with third-party vendors and service providers.
- Work with customs brokers to ensure timely customs clearance for shipments.
- Monitor shipment progress and swiftly resolve operational challenges or delays.
- Maintain detailed records and update internal systems reflecting shipment activities and statuses.
- Assist billing processes by confirming accurate rating of files and correct input of all costs and revenues.
- Develop and sustain robust relationships with customers, carriers, agents, and internal departments.
- Process all jobs consistently in line with agreed handling procedures and customer-standard operating procedures.
- Support operational reporting and perform additional duties assigned by team leadership or operations management.
Required Skills and Competencies
- Advanced proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
- Strong verbal and written communication abilities.
Education and Experience
- Minimum of 3 years of relevant experience in freight forwarding or logistics.
- Familiarity with the CargoWise enterprise software is advantageous.
- Bachelor’s degree in Business, Supply Chain Management, or related disciplines preferred.
- Certification from the Canadian International Freight Forwarders Association (CIFFA) is preferred.
- Dangerous Goods (DG) certification is an asset.
Physical Requirements
- Extended periods spent seated at a workstation using a computer.
- Ability to lift items weighing up to 15 pounds.
