Role Summary

The Facilities Coordinator acts as the pivotal liaison for office operations, ensuring seamless day-to-day functionality, excellent reception and guest services, and effective facilities management coordination. The position combines administrative expertise with workplace support, vendor management, office administration, financial oversight, health and safety management, and other ad-hoc duties designed to cultivate a safe and engaging environment. This role endorses a collaborative one-team philosophy to consistently deliver remarkable customer experiences.

Key Responsibilities

  • Deliver top-tier front desk and visitor services ensuring professional and courteous interactions at all times.
  • Maintain and uphold facility management standards and contractual IFM services performance through KPIs and SLAs.
  • Coordinate monthly client performance assessments to ensure contractual obligations are met efficiently.
  • Oversee the financial aspects related to site service delivery, ensuring budget adherence and cost-effectiveness.
  • Ensure planned preventive maintenance and remedial tasks for both soft and hard facility services are executed timely.
  • Guarantee proper upkeep of critical infrastructure such as UPS, FM200, Fire Alarm, Emergency Lighting, Mechanical & Electrical systems, and HVAC units.
  • Manage relationships with suppliers and service providers to support effective site operations.
  • Support procurement and administrative processes including managing purchase orders, work orders, digital logs, and vendor calls.

Qualifications and Skills

  • Five to seven years of experience in Customer Service, Hospitality, Facilities Management, or a supervisory role in allied service domains.
  • Excellent communication capabilities, both written and oral.
  • Proven expertise in contract management and assessing service performance.
  • Competent in PC operations with strong familiarity with Microsoft Office suite and experience using PPM and CAFM software systems.
  • Robust commercial acumen encompassing profit and loss and budgetary responsibilities.
