Why This Role Matters
Coursera is seeking an Executive Assistant to support the CEO and partner closely with the Chief of Staff. This position is responsible for protecting the CEO’s time, keeping the CEO office running smoothly, and ensuring the executive team has the administrative support and operational structure needed to move quickly and accurately.
The role goes well beyond traditional administrative support. It calls for strong operational thinking, adaptability, excellent communication, and the ability to create order in a complex environment. The ideal candidate works independently, anticipates needs, and acts as a collaborative problem-solver who helps stakeholders find solutions rather than acting as a bottleneck.
Key Objectives
- Safeguard and optimize the CEO’s schedule so time is used on the highest-value priorities.
- Keep the CEO office operating as a coordinated system rather than disconnected tasks.
- Work in close partnership with the Chief of Staff on CEO operations and administrative systems.
- Build strong relationships across the company and support internal stakeholders with a customer-first mindset.
- Create and improve repeatable processes that reduce friction and increase consistency.
- Become a dependable, solutions-focused partner known for follow-through, accessibility, and steady execution.
Responsibilities
- Manage the CEO’s calendar from end to end, prioritize meetings by strategic value, preserve focused work blocks, resolve conflicts ahead of time, and keep the CEO fully prepared for upcoming commitments.
- Coordinate all CEO travel, events, and related logistics, including backup planning and smooth execution in urgent or high-pressure situations.
- Track CEO expenses and work with Finance on budget-related follow-up when needed.
- Act as the operational point person across the E-Team EA group, align on shared standards, coordinate scheduling and logistics, and help the network function as one integrated support system.
- Own logistics and operational preparation for recurring CEO-led meetings such as Business Reviews and Board meetings.
- Coordinate scheduling, logistics, and preparation for E-Team meetings and in-person events so they run efficiently and participants are ready.
- Partner across the organization in a collaborative, service-oriented way while balancing competing requests with sound judgment and responsiveness.
Required Qualifications
- At least 7 years of experience in executive support, including direct support to a C-suite leader at a public company or a late-stage private company with 1,500+ employees.
- Proven experience handling complex calendars, travel, and logistics in a fast-paced, high-pressure setting.
- Strong experience managing highly sensitive information with discretion and good judgment.
- Experience coordinating with senior leaders, including C-suite executives, board members, and external partners.
- Ability to lead projects from planning through delivery, including progress tracking, governance, and risk management.
- Capacity to work independently, anticipate needs, make sound decisions, and drive outcomes with limited oversight.
- Clear and direct written and verbal communication skills.
Preferred Qualifications
- Background in an EA role with operational responsibilities beyond one-to-one executive support, such as team coordination, EA network leadership, or cadence management.
- Experience working on an operational team and the ability to connect information across people and functions.
- Exposure to board logistics or support for Board of Directors coordination.
- History of improving administrative systems, workflows, and tools.
- Comfort working at a fast pace with overlapping priorities and frequent last-minute requests.
- Experience in a technology company with cross-functional and executive-team coordination.
Compensation
This position is offered in the following U.S. pay zone: US Zone 1, with an annual base salary range of $122,360 to $152,950.
