Role Overview

An investment management firm in Midtown Manhattan is seeking a seasoned Executive Assistant to provide high-level support to a Managing Partner and two Managing Directors. This is a chance to work closely with senior leaders in a collaborative, high-performing setting where the executive assistant is treated as a strategic partner.

The role suits someone who performs well in a busy, changing environment, is skilled at staying ahead of needs, and takes pride in delivering polished, dependable support while building trusted relationships across the organization.

The position uses a hybrid arrangement: four days on-site and one day working remotely each week. There may be occasional need to report to the office on remote days for client meetings or special events.

Responsibilities

  • Coordinate intricate calendars that shift frequently across several time zones.
  • Arrange end-to-end domestic and international travel, including itineraries, lodging, transportation, visas, and related logistics.
  • Look ahead to travel needs and flag scheduling issues before they become conflicts.
  • Compile and submit monthly expense reports using Concur.
  • Act as a reliable point of contact by prioritizing requests and ensuring follow-through on open items.
  • Organize meetings, conference calls, and video meetings with both internal teams and outside contacts.
  • Create presentations, reports, and materials needed for meetings.
  • Handle occasional personal assistance tasks such as reservations, errands, reminders, and similar administrative needs.
  • Support planning for team lunches, client gatherings, and office events.
  • Work with the administrative group on company-wide initiatives, employee events, and special projects.
  • Look for ways to streamline processes and strengthen executive support over time.

Requirements

  • 3 to 5 years of experience as an Executive Assistant or Administrative Assistant supporting senior-level leaders in a fast-moving environment.
  • Background in financial services is preferred, though applicants from consulting, technology, legal, and other professional services fields are also welcome.
  • Strong organizational ability and the capacity to balance multiple competing priorities.
  • Sharp attention to detail with consistent and reliable follow-through.
  • Professional presence, strong discretion, and the ability to handle confidential matters appropriately.
  • Excellent written and spoken communication skills.
  • Resourceful, proactive, and solution-focused, with a talent for anticipating needs.
  • Advanced comfort with Microsoft Office, Outlook, Teams, and Zoom.
  • Experience with expense tools like Concur and with complex travel coordination is strongly preferred.
  • Comfort using new technologies and AI-based tools to improve efficiency and productivity.
