Job description
Role overview
This contract Executive Assistant position runs for 4 months and may lead to a permanent hire. The role is based in New York, NY and follows an onsite schedule for four days each week, with Thursdays and Fridays working from home. You will support Managing Directors in the New York and tri-state area offices and work closely with senior leaders, including Managing Directors and Managing Partners.
Compensation
Pay is $45 to $50 per hour on W2.
Key responsibilities
- Maintain and coordinate detailed calendars for multiple senior leaders, balancing priorities and daily commitments.
- Organize intricate travel itineraries, including multi-leg and international or cross-time-zone arrangements.
- Handle expense submissions promptly and accurately.
- Plan logistics for Board of Directors meetings and other business events when required.
- Prepare and format internal and external materials such as emails, memos, presentations, and reports.
- Support delivery timelines, assist with special requests, and help execute last-minute initiatives.
- Collaborate with the wider facilities and administration team and provide backup support to other executive assistants.
Requirements
- An undergraduate college degree is required.
- Previous experience supporting senior-level executives in an Executive Assistant capacity is needed.
- Ability to anticipate needs, manage upward diplomatically, and respond with tact.
- High attention to detail and a strong commitment to confidentiality.
- Proficiency with Microsoft Office tools, including Word, Outlook, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Proven ability to manage schedules and workflows in a fast-moving environment.
- Experience arranging global travel across multiple time zones and complex itineraries.
- Comfort working collaboratively with a large group and reporting into a senior administrative lead.
- Adaptability in ambiguous, changing, or highly dynamic settings.
- Willingness to support executives outside standard working hours when needed.
