The Role
This Executive Assistant role is critical to protecting the CEO's most valuable resource: his time. You will be responsible for managing the CEO's calendar, inbox, and ensuring the follow-through on all commitments. This position requires a proactive individual who can manage project timelines, draft communications in the CEO's voice, and handle logistics for meetings, travel, and events. The ideal candidate will be a senior-level professional capable of immediately contributing without extensive ramp-up time, focusing on optimizing existing systems rather than building new ones.
The Work
- Manage and optimize the CEO's calendar, prioritizing focus time and strategically sequencing daily activities.
- Effectively triage the CEO's inbox, responding directly to routine matters and escalating critical issues.
- Draft correspondence, including emails, memos, and client communications, accurately reflecting the CEO's voice and tone.
- Track and ensure the completion of all commitments made by the CEO.
- Coordinate and manage logistics for sponsor meetings, client visits, executive travel, and leadership offsites.
- Liaise with other leadership team members (COO, Lab Director, Site Partnerships) on shared project timelines.
- Prepare the CEO for meetings by developing agendas, providing background information, and identifying key discussion points.
- Handle personal administrative tasks for the CEO as needed, including travel arrangements, expense reporting, and occasional errands.
What We're Looking For
- A minimum of 5 years of experience serving as the dedicated Executive Assistant to a CEO, founder, or managing partner.
- Proven ability to manage a single principal's calendar, inbox, and follow-through processes comprehensively.
- Strong project management instincts with a demonstrated ability to track tasks to completion independently.
- Excellent writing and ghostwriting skills, capable of producing professional communications in another person's voice.
- Proficiency in complex calendar management, adept at balancing competing high-priority requests.
- Sound judgment in determining what requires the principal's attention and what can be handled independently.
- Adaptability to work effectively in ambiguous situations and manage shifting priorities.
- Utmost discretion in handling confidential business, client, and personal information.
- Must be based in the Los Angeles area and able to work from the office regularly, as this role is not remote.
