About the team
The Operations team keeps Airwallex running smoothly by improving workflows, increasing efficiency, and supporting strong service delivery. The team plays a key role in helping the company scale while maintaining high standards for customer and internal support.
Role overview
This position supports the CEO as a trusted personal and executive assistant. You will help manage priorities, handle incoming requests, and coordinate across internal and external stakeholders so the CEO can stay focused on high-impact work. The role is varied, fast-paced, and suited to someone who enjoys taking ownership across both professional and personal support tasks.
Key responsibilities
- Manage the executive’s business and personal calendars across several time zones.
- Serve as the main contact for stakeholders who need the executive’s time, input, or action.
- Arrange meetings proactively, including agenda preparation, venue or platform setup, minute-taking, and related coordination.
- Organise travel for the executive and family, including flights, hotels, transfers, itinerary planning, visa support, and other local requirements.
- Oversee expense handling, personal invoices, bill payments, and insurance reimbursements.
- Support household operations such as vendor coordination and housekeeper management.
- Plan reservations, meals, and appointments for the executive and family.
- Handle day-to-day errands and ad hoc personal requests.
- Coordinate logistics for personal events, public appearances, or activities.
- Provide administrative support for the executive’s private venture fund.
- Assist with document creation and presentation preparation.
What we are looking for
- A degree holder with at least 6 years of experience as a personal or executive assistant supporting a CEO or founder.
- Strong reliability, diligence, and accountability, especially when dealing with confidential or sensitive matters.
- A composed and calm manner under pressure.
- Interest in taking on new challenges and responsibilities.
- Comfort using startup collaboration and productivity tools such as Slack, Google Suite, Confluence, Zoom, WeChat, and WhatsApp.
- Solid working knowledge of Microsoft Word, Excel, and PowerPoint.
- Excellent spoken and written communication skills in both English and Mandarin.
