Job description

About the Role

This position offers the opportunity to directly support the CEO ASEAN, enhancing their productivity and efficiency by managing various tasks. The Executive Assistant will serve as a crucial gatekeeper, prioritizing incoming requests and managing the flow of information. In some instances, the EA may represent the CEO ASEAN in meetings and will also provide administrative support to the FRSG business unit.

Key Responsibilities

  • Optimize the CEO ASEAN's schedule through meticulous planning and coordination of meetings and appointments.
  • Manage executive communications, including drafting correspondence, reports, and presentations.
  • Arrange comprehensive international and domestic travel, including itineraries, visa applications, flights, accommodation, and local transportation.
  • Act as a primary liaison between various departments and stakeholders, screening communications and responding on behalf of the executive.
  • Handle administrative duties such as report generation, expense processing, preparing meeting materials, minute-taking, and follow-up actions.
  • Serve as the main point of contact for the FRSG business unit with other ASEAN business units and stakeholders.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other Microsoft software.
  • Excellent English communication skills and strong organizational abilities.
  • The ability to handle highly sensitive and confidential information with discretion.
  • Capacity to multitask effectively, build strong interpersonal relationships, and function as a collaborative team member.
  • Demonstrated ability to make sound judgments and decisions aligned with the CEO ASEAN's best interests.
  • Capability to independently manage projects with defined timelines and keep stakeholders informed.
  • A minimum of 5 years of experience in an Executive Assistant role, with a preference for 3-5+ years supporting C-level executives.
  • A minimum of a Diploma in any discipline; a Bachelor's degree in Business Administration or a related field is advantageous.
  • Knowledge of Japanese is considered a plus.

Additional Information

This role requires a proactive and detail-oriented individual who can anticipate needs and manage a demanding workload. The ability to work independently and as part of a team is essential.
