Overview

New American Funding (NAF) is a national mortgage lender focused on delivering customized home financing options across the United States. The Executive Assistant, Strategy role offers high-level administrative and operational support for senior leaders within the Strategy division, enhancing organizational effectiveness and executive productivity. This position is remote, with an expectation to work onsite four days a week if residing within 31 miles of Santa Ana, CA or Austin, TX.

Key Responsibilities

  • Collaborate with the Executive Assistant Team Lead and Business Support staff to schedule executive activities, align organizational goals, develop teams, exchange knowledge, and uphold a consistent, top-tier experience for Strategy leaders and stakeholders.
  • Deliver proactive administrative assistance such as managing calendars, organizing meetings, arranging travel, and handling expense reports for Strategy executives.
  • Oversee complex scheduling demands across several leaders, departments, and time zones, adjusting for evolving priorities and business requirements.
  • Create, revise, and distribute communications, presentations, executive reports, and related materials.
  • Act as the communication bridge between executives and internal or external parties, ensuring prompt follow-through and messaging.
  • Maintain essential documents including meeting summaries, task lists, and project trackers to enhance executive transparency and accountability.
  • Assist in budget monitoring, invoice processing, purchase requests, and other administrative operations as required.
  • Coordinate with teams across functions to collect information, synchronize deliverables, and ensure alignment on vital priorities.
  • Foresee executive needs, anticipate scheduling or operational obstacles, and implement effective remedies proactively.
  • Manage sensitive and confidential details with the utmost discretion and professionalism.
  • Support onboarding, employee engagement, recognition initiatives, and culture-building activities.
  • Utilize technology and AI-enabled tools to boost efficiency, enhance communication, and improve meeting readiness.
  • Identify process improvement opportunities to strengthen administrative functions and executive support operations.
  • Effectively convey requirements, priorities, and dependencies among stakeholders and teams to optimize workflow.

Qualifications

  • Minimum of five years' experience supporting senior executives in dynamic corporate settings.
  • Proven ability managing multiple complex calendars and executives simultaneously.
  • Outstanding organizational, prioritization, and time management capabilities.
  • Excellent written and verbal communication proficiency.
  • Experience handling confidential information responsibly and discreetly.
  • High proficiency with Microsoft Office and virtual collaboration tools.
  • Demonstrated expertise organizing meetings, travel, events, and executive communications.
  • Strong accuracy and attention to detail in task execution.
  • Self-motivated with an anticipatory approach to executive needs and an independent work ethic.
  • Creative, adaptable, and solutions-focused attitude.
  • Preferred background supporting functions such as Product, Technology, Strategy, Finance, or related corporate sectors.
  • Experience leveraging AI-powered productivity applications is advantageous.
