Overview

This newly established position supports the Principal of a Single Family Office based in Austin, TX. The role aims to maximize the Principal's effectiveness by managing their time, priorities, communications, and commitments with precision and discretion. The Executive Assistant acts as a trusted extension of the Principal, assisting them in navigating a complex portfolio of global businesses and investments.

Key Responsibilities

  • Efficiently manage the Principal's multi-time-zone calendar, proactively resolving conflicts and prioritizing time for critical business, investment, and family office activities.
  • Oversee and prioritize all incoming communications and emails, drafting responses and ensuring timely follow-up with the utmost professionalism and discretion.
  • Coordinate domestic and international travel logistics, including flights, lodging, transportation, and detailed itineraries, adjusting plans as priorities shift.
  • Prepare detailed meeting materials such as agendas, briefing notes, talking points, and research to fully equip the Principal for various meetings and engagements.
  • Monitor key decisions and action items from meetings and communications to ensure timely completion by the responsible parties.
  • Act as the liaison between the Principal and internal/external stakeholders, including family office leaders, company executives, consultants, and legal advisors.
  • Represent the Principal with diplomatic and professional communication, reflecting the Family Office's values and priorities.
  • Provide operational and strategic support on special projects, combining structure and resourcefulness to handle both routine and complex tasks.

Required Qualifications

  • Extensive experience supporting senior leaders such as executives, founders, CEOs, or Principals in family offices, private investment firms, or similarly complex environments.
  • Exceptional skills in organization, project management, and prioritizing competing demands.
  • Proven track record managing intricate calendars, high-volume communications, and global travel arrangements.
  • Excellent written and verbal communication abilities to represent senior leadership effectively.
  • Highly proactive and resourceful with strong judgment to anticipate needs and handle issues independently.
  • Ability to exercise discretion when managing sensitive and confidential information.
  • Adaptability and comfort working in a dynamic and entrepreneurial setting.
  • Meticulous attention to detail and dedication to delivering superior support consistently.
  • Current residence in Austin or willingness to relocate, with flexibility to accommodate the Principal’s schedule and travel requirements.

Compensation and Additional Information

The salary range for this role is $125,000 to $150,000 annually, complemented by a generous bonus program. Candidates with professional references are preferred.
