Role Overview
We are looking for a well-organized, discreet, and proactive Executive Assistant to provide comprehensive support to the Director and manage administrative tasks. This role requires balancing personal and professional duties such as calendar management, travel planning, vendor coordination, project oversight, and handling household staff, while maintaining confidentiality and professionalism.
Key Responsibilities
- Coordinate personal and professional calendars to schedule meetings, appointments, and events effectively.
- Arrange domestic and international travel plans including itinerary, transport, and accommodation details.
- Communicate with household staff, vendors, and service providers to facilitate smooth everyday operations.
- Manage maintenance schedules, oversee property-related projects, and track household inventories.
- Assist in organizing and executing events ranging from small dinners to larger social functions.
- Run personal errands such as shopping, pay bills, and keep expense records.
- Handle correspondence, emails, and documentation on the owner’s behalf.
- Maintain strict confidentiality and act as a gatekeeper for all personal and professional communications.
- Conduct research and prepare briefings or reports when necessary.
- Set up and maintain the office space, daily inventory, and overall office management.
- Monitor employee attendance using biometric or manual systems and manage travel desk and ticket bookings.
- Ensure employee amenities including workspace infrastructure, seating, water, pantry, and hygiene standards.
- Coordinate routine maintenance, repairs, and procurement activities liaising with vendors and processing payments while negotiating favorable deals.
- Maintain storage, file management, publications, and cleanliness standards in office premises including managing office attendants.
- Ensure all facilities—including conference rooms, pantry, cafeteria, and equipment—are functional and well-maintained with necessary service contracts (AMCs) active.
Required Qualifications and Skills
- Graduate from a recognized college.
- Demonstrated experience in an Executive or Personal Assistant role, preferably with household management experience.
- Exceptional organizational and time management skills.
- Strong verbal and written communication capabilities.
- Proficient with Microsoft Office Suite, Excel, Google Workspace, and various scheduling applications.
- Ability to work flexible hours including evenings and weekends if needed.
- High level of discretion, confidentiality, and professionalism.
- Self-driven, detail-focused, and capable of solving problems independently.
Working Hours and Location
The position is based at MD House, Daryaganj, Delhi, with working hours from 12 PM to 9 PM, Monday through Saturday. Some remote work may be possible depending on job responsibilities.
Compensation
The offered monthly salary ranges between INR 35,000 to 40,000.
