Role overview

Durham Community Health Centre is hiring a full-time permanent Executive Assistant to support senior leadership within a community-based health setting in Oshawa, Ontario. This position is part of a non-bargaining unit and reports to the VP, Integrated Care & Experience (Interim Director, EPESI).

The role is based primarily at 115 Grassmere Ave, Oshawa, ON, with flexibility to work from other DCHC sites when needed. The schedule is Monday to Friday, 35 hours per week.

Annual compensation is listed at $54,900 to $68,600, with pay aligned to skills and experience, and includes Group Benefits and HOOPP.

Durham Community Health Centre is a registered charitable organization that delivers integrated, accessible, and equitable primary care, wellness services, and health education to community members across Durham who face barriers to good health and well-being.

The organization also offers equity-focused programs for priority populations including Indigenous people, Black communities, the 2SLGBTQI community, newcomers to Canada, seniors, and unattached patients. Its care model combines preventive and sick care through a multidisciplinary team of clinicians and administrative professionals.

What you will do

  • Support VP calendars, appointment scheduling, and meeting preparation materials.
  • Keep the VPs informed on internal and external matters and ensure they are prepared for upcoming commitments.
  • Serve as a main point of contact between the VPs and both internal and external stakeholders.
  • Partner with the VPs on special assignments and strategic initiatives.
  • Prepare, review, and track correspondence, including follow-up on replies and deliverables.
  • Arrange travel and hotel bookings when required.
  • Plan agendas and record minutes for standing and ad hoc meetings and committees.
  • Compile action-item lists after meetings and follow up on outstanding tasks.
  • Research and triage issues or concerns directed to the VPs, including confidential or sensitive matters, and determine the right response, referral, or next step.
  • Maintain accurate and current records in the Corporate Information System.
  • Take part in other committees and internal projects as assigned.
  • Develop briefing notes and reports.

What you bring

  • At least 5 to 7 years of experience supporting a VP or other senior leader.
  • A bachelor’s degree in communication, post-secondary training in a related field, or an equivalent combination of education and senior administrative support experience.
  • Strong ability to handle confidential and sensitive information appropriately.
  • Excellent organization, attention to detail, time management, and project coordination capabilities.
  • Comfort working under multiple deadlines and balancing several tasks at once.
  • Strong computer skills and familiarity with office software used in senior administrative support.
  • Experience in administrative analysis or processing in a community health centre environment is an asset.
  • Knowledge of Ontario Health, MOHLTC, and other public funder requirements is considered an advantage.
  • Ability to work independently and contribute effectively within an interdisciplinary team.
  • Proven capacity to prioritize work, manage competing timelines, and meet deadlines consistently.
  • Excellent verbal, written, and interpersonal communication skills for dealing with varied stakeholders.
  • Ability to manage a broad mix of assignments and projects accurately and efficiently.
  • Proficiency with computers, internet/intranet tools, and MS Office or similar software.

Work environment and demands

  • The work environment is a regular office setting involving contact by phone, in person, and by email with staff and management.
  • Some work outside standard business hours may be required to support board activities or VP meetings.
  • The role involves regular multitasking in a changing open-office environment.
  • There is ongoing collaboration with colleagues in the same role and across disciplines.
