Role Overview
Reporting directly to the Senior Vice President of Artist Relations, this position provides crucial administrative support, managing complex schedules, organizing meetings, coordinating travel and expenses, and maintaining industry communications within the National Programming and Artist Relations groups.
Key Responsibilities
- Manage calendars, coordinate meetings with labels, management, and internal teams, and handle travel arrangements and expense processing for executives.
- Support preparation and management of multi-format Music Summits, including coordinating invitations and label presentations.
- Maintain program trackers for Artist Relations campaigns such as Audio campaigns, AIPs, World Premieres, On the Verge, and Takeover Hours, and compile year-end impact reports.
- Oversee the industry contact database for iHeartMedia.
- Assist with gathering and distributing talent assets to support national programs and events across various platforms.
- Provide thorough recaps following content launches and extended marketing efforts for record labels.
- Create artist profile pitches as needed and prepare weekly updates, newsletters, and industry recaps.
- Help produce promotional materials for artist campaigns, including calculating valuations for contests, editorial features, and social promotions.
- Manage On The Verge and Titanium Award processes from artist identification to coordinating cross-departmental communications and ensuring social media support.
- Support original content production and social media tasks linked to major events.
- Coordinate VIP invitations and manage fulfillment for Tentpole Events.
- Represent the National Artist Relations team at local shows and artist showcases.
- Oversee the department’s Internship Program.
Qualifications and Skills
- Exceptional attention to detail, capable of handling sensitive information and managing high-volume communications with precision.
- Proven multitasking and prioritization skills in fast-paced, deadline-driven environments.
- Strong organizational and project management capabilities with proactive problem-solving.
- Excellent communication skills both written and verbal, and a polished professional demeanor when engaging with artists, executives, and partners.
- Demonstrated professionalism in handling confidential talent and executive relationships with discretion and diplomacy.
- Experience supporting senior executives, preferably within entertainment, music, or media industries.
- Effective relationship-building ability and customer-service orientation to collaborate across organizational levels.
- High proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), Canva, and calendar management tools.
- Adaptability to shifting priorities and composure under pressure.
- Bachelor’s degree or equivalent relevant experience preferred.

Compensation and Benefits
The salary range is hourly, between $27.20 and $34.00, influenced by experience and qualifications. Benefits include employer-sponsored medical, dental, and vision coverage, life insurance, paid vacation and holidays, a volunteer Spirit Day, a 401(k) plan, employee assistance programs, and additional voluntary programs like student loan refinancing and accident insurance.
