About The Role
We are seeking a highly organised and proactive APS4-5 Executive Assistant to deliver comprehensive administrative, coordination, and secretarial support to senior executives. This position requires the ability to handle multiple priorities efficiently within a dynamic environment to provide effective executive assistance.
Key Responsibilities
- Deliver executive, administrative, and secretariat support to senior leaders.
- Manage intricate diaries, appointments, and competing priorities effectively.
- Serve as the primary contact point for inquiries and correspondence.
- Organize meetings, agendas, briefing materials, and document minutes.
- Monitor action items, deadlines, and follow-up tasks to ensure timely completion.
- Oversee executive office workflows, recordkeeping, and administrative procedures.
- Maintain precise records utilizing Microsoft Office, SAP, PDMS, and EDRMS systems.
- Coordinate both domestic and international travel arrangements, including itineraries and expense reconciliations.
- Support research, reporting, and administrative coordination tasks.
- Handle confidential information with utmost discretion and professionalism.
- Collaborate with internal teams and executive support personnel to enhance coordination.
- Contribute to fostering a professional, inclusive, and collaborative workplace culture.
Experience and Skills Required
- Proven experience in executive assistant or senior administrative roles.
- Strong skills in diary management and organisational effectiveness.
- Ability to juggle multiple priorities and consistently meet deadlines.
- Excellent verbal and written communication capabilities.
- Comfortable engaging with senior stakeholders and external contacts.
- Exhibit sound judgement and maintain confidentiality on sensitive subjects.
- Experienced in preparing briefs, reports, correspondence, and meeting documentation.
- Detail-oriented with a proactive mindset for problem-solving.
- Capable of working independently as well as collaboratively within teams.
- Proficient in Microsoft Office and various records management systems.
- Flexible and adaptable to fast-paced work environments.
Additional Information
- This is a non-ongoing contract position classified at the APS4-5 level.
- Initial contract duration is 12 months, with a possibility of a 6-month extension.
- Position is located in Canberra, ACT.
- Indicative salary range is $92,753 to $99,113 per annum plus superannuation.
- Applicants must possess at least NV1 Security Clearance before starting.
- Ability and willingness to undergo a police check is required.
