About the Human Resource & Organization Department

The Human Resource & Organization (HROD) team shapes GIC’s talent strategy and helps build the organisational culture that supports long-term performance.

Role Impact

In this position, you will help a senior leader operate at peak effectiveness by staying ahead of needs, maintaining structure, and bringing professionalism and discretion to a dynamic setting.

Key Responsibilities

This role combines executive support, departmental administration, and event coordination.

  • Support the Director with diary management, including organising and ranking meetings, resolving clashes, and handling urgent schedule changes and cancellations.
  • Arrange corporate travel from start to finish, covering travel plans, accommodation, and reimbursement claims while staying aligned with GIC policies.
  • Act as a polished point of contact for the Director’s Office, communicating effectively with both internal and external stakeholders.
  • Protect confidential and sensitive information with consistent discretion.
  • Provide day-to-day administrative assistance to HROD, including document management, filing, record maintenance, and upkeep of the electronic document management system in line with retention requirements.
  • Monitor department budgets, process claims and supplier invoices, and coordinate with Finance when follow-up is required.
  • Handle audit-related queries and other ad hoc administrative tasks.
  • Support onboarding arrangements for new department hires, including seating and IT coordination.
  • Schedule HR-related agenda items for senior meetings such as the Group Executive Committee, Heads of Departments meetings, and the GIC Board HR & Organization Committee.
  • Prepare slides, reports, and supporting materials for department updates and presentations.
  • Carry out other office administration duties such as managing stationery, courier services, printing, and scanning.
  • Plan logistics for team meetings, offsites, and company-wide events, including venues, catering, rooms, and vendor coordination.
  • Support staff engagement, welfare activities, and internal events by sourcing and managing vendors as needed.
  • Work closely with executive assistants and colleagues across teams to coordinate meetings and engagements smoothly.

Requirements

  • A bachelor’s degree in business administration or a closely related qualification is required.
  • 5 to 8 years of experience in secretarial and administrative support for senior leaders and teams, preferably in financial services.
  • Strong planning skills, high attention to detail, and the ability to juggle priorities, work to deadlines, and stay effective with limited supervision.
  • Ownership, initiative, and a proactive mindset are important, especially in a fast-paced environment with many competing demands.
  • Excellent written and verbal communication skills, along with a positive, collaborative approach to working with different stakeholders.
  • Good judgment and the ability to work independently when processes or instructions are not fully defined.
  • Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
