Role overview

HSBC is looking for an experienced Executive Assistant to support a senior executive with day-to-day administrative and secretarial coordination. The position focuses on keeping schedules, communications, travel, and office processes running smoothly while ensuring work is completed in line with internal standards and controls.

Key responsibilities

  • Provide dedicated administrative and secretarial assistance to the senior executive, helping ensure tasks are completed on time and in line with internal requirements.
  • Manage email, calendar, and travel arrangements to support the executive’s effectiveness.
  • Act as a point of coordination with people inside and outside the organisation for events, travel planning, and follow-up on projects.
  • Oversee team administration and associated risks effectively.
  • Keep track of business operations and areas of responsibility on a regular basis.
  • Maintain business records and information accurately and without delay.
  • Prepare reports, presentations, and spreadsheets as needed.
  • Follow HSBC policies, procedures, and control standards in routine, exceptional, and project-related work, and escalate any actual or potential issues promptly through the correct channels.
  • Handle additional tasks and ad hoc projects as assigned.

Requirements

  • Prior administrative or secretarial experience gained in financial services.
  • Strong people skills, with a proven ability to work well in a team and communicate clearly.
  • Good understanding of operational risk and control requirements.
  • Ability to manage sensitive internal relationships with tact and discretion.
  • Excellent spoken and written communication skills.
  • Comfortable working under pressure and meeting deadlines.
  • High standards of integrity and professionalism.
