Job description

Role Overview

We seek a dedicated Executive Assistant to provide comprehensive support to an Executive Director and manage human resources along with administrative tasks within a Healthcare office. This multifaceted role demands excellent organizational skills, sound discretion handling confidential details, and the ability to multitask in a dynamic setting.

Key Responsibilities

  • Manage executive calendars, coordinate meetings, prepare briefing materials, and assist with daily priorities for senior executives.
  • Assist in human resource planning by maintaining policies, monitoring staffing requirements, and supporting recruitment workflows including job postings, interviewing, and onboarding processes.
  • Collaborate with internal leadership on employee relations issues such as workplace concerns, accommodations, investigations, and disciplinary actions.
  • Support benefits and compensation management alongside finance teams while ensuring accurate maintenance of employee records and training documentation.
  • Oversee vacation planning and mandatory training compliance to maintain operational efficiency.
  • Draft internal and external communications including reports, presentations, newsletters, announcements, and meeting minutes.
  • Coordinate board and governance affairs by organizing meetings, compiling agendas and documents, and ensuring confidentiality of sensitive materials.
  • Address and resolve inquiries from internal and external stakeholders, tackling escalated administrative matters promptly and thoroughly.
  • Provide additional workplace administrative support, such as managing access passes, parking logistics, leadership events, and volunteer coordination.

Required Qualifications and Skills

  • At least three years’ experience in executive support, administration, human resources, or a related role within the Healthcare sector.
  • Proven expertise in supporting senior leadership, including managing calendars, organizing meetings, coordinating travel, and handling expense reporting.
  • Exceptional written and verbal communication skills, capable of producing clear and effective business documents and presentations.
  • Strong aptitude for confidentiality, exercising good judgment, tact, and discretion in managing sensitive information.
  • Highly organized with meticulous attention to detail and an ability to juggle multiple competing priorities successfully.
