About the Role

This is a varied and high-responsibility position combining executive support, office coordination, event organisation, payroll administration, and support for health, safety, and environment initiatives. The role is suited to someone who enjoys working across multiple functions and supporting senior leaders while keeping office operations running smoothly.

Executive and Administrative Support

  • Maintain demanding schedules and diary arrangements for the Executive Leadership Team.
  • Arrange meetings, travel, accommodation, and event logistics for both local and overseas requirements.
  • Draft and format correspondence, reports, presentations, and meeting notes.
  • Act as a point of contact between the Executive Team and internal or external stakeholders.
  • Provide support with project administration and management reporting tasks.
  • Handle monthly expense claims and related reconciliations.

Office and Facilities Coordination

  • Manage incoming mail, stationery, and general office supply requirements.
  • Coordinate building maintenance requests, test and tag compliance, and broader facilities support.
  • Plan and assist with company events and staff initiatives such as morning teas, monthly social gatherings, roadshows, town halls, and the annual Christmas celebration.

Payroll Coordination

  • Work with the external payroll provider on monthly payroll processing and ad hoc payments.
  • Share payroll reports and upload bank files for management approval.
  • Monitor the payroll shared inbox and respond to employee questions.

About You

The ideal candidate is approachable, professional, and confident in building effective working relationships across all levels of the organisation. You should be highly organised, detail-focused, comfortable managing sensitive information, and able to work independently or collaboratively with minimal guidance. The position also calls for strong capability in a busy, fast-moving environment.
