Job description

Position Overview

This fixed-term contract role for an Executive Assistant / Administrative Business Partner (ABP) is based in London, UK, involving a hybrid working arrangement of three days on-site and two days remote. The contract spans from August 17, 2026, through April 16, 2027. The successful candidate will act as a strategic and operational partner, effectively managing complex executive calendars, travel plans, expenses, and contributing to site culture enrichment with minimal supervision.

Key Responsibilities

  • Effectively oversee and optimize leadership and team calendars encompassing multiple time zones, resolving scheduling conflicts and aligning time management with business objectives.
  • Lead the organization and seamless execution of medium to large-scale events and site cultural programs, including coordination of venues, equipment, vendors, promotional items, and budget oversight.
  • Manage comprehensive domestic and international travel arrangements with attention to preferences, compliance with visa/passport requirements, and responsiveness during travel for urgent solutions.
  • Conduct expense management activities including reporting, purchase orders, and invoice approvals compliant with company policies.
  • Prepare and support crucial meetings by drafting agendas, assembling presentation materials, confirming participants and logistics, and confidentially capturing meeting details.
  • Collaborate on workplace operations and office space needs, working closely with Real Estate Workplace Services and spearheading process improvements site-wide and within the ABP community.

Minimum Qualifications and Skills

  • Exceptional skills in advanced calendar and executive workflow management.
  • Demonstrated experience in project and event management from conception to completion.
  • Expertise managing international travel logistics and complex expense processes.
  • Proven ability to foster workplace culture and build strong relationships across various teams.
  • Strict adherence to confidentiality and discretion handling sensitive information.
  • Experience in resource planning, facilities coordination, and partnership with workplace services.
  • Outstanding communication skills, both written and verbal, with diverse audiences.
