Job description

Role Overview

An established global investment management firm is looking for an Executive Assistant to act as a trusted partner to senior leadership. The position combines classic executive support with coordination work that keeps teams and priorities moving smoothly. The role is based in Boston, MA and follows a hybrid schedule with four in-office days each week. A degree is not required.

What You’ll Do

You will manage complex executive calendars that span multiple time zones and frequently changing priorities. The role also involves organizing both internal and external meetings, making sure logistics, materials, and follow-up actions are handled carefully. In addition, you will arrange domestic and international travel, building detailed itineraries that account for shifting schedules and needs.

As a central contact for stakeholders, you’ll handle sensitive information with care and professionalism. You’ll also support day-to-day team operations by tracking deliverables, preparing documents, assisting with onboarding and offboarding, and helping with general administrative work. From time to time, you may also contribute to process improvements and special projects.

What the Employer Is Looking For

The preferred candidate has at least 5 years of experience in executive support, ideally in technology or professional services settings. Strong organization, prioritization, and problem-solving ability are essential, along with a proactive mindset that anticipates needs and performs well in a fast-moving environment. Excellent communication and people skills are important, as is advanced proficiency with Microsoft Office and comfort learning new tools and systems. Professionalism, sound judgment, discretion, and close attention to detail are key to success in this role.
