Our Executive Assistant role involves supporting senior leadership and partners by coordinating firm initiatives, managing administrative tasks, and ensuring the smooth execution of projects.
Key Responsibilities
- Provide dedicated support to assigned partners, managing practice area responsibilities.
- Handle sensitive matters with confidentiality, exercising discretion and sound judgment especially when decisions impact firm operations.
- Build and nurture professional relationships to ensure effective teamwork and clear communication.
- Prepare and maintain documents, presentations, spreadsheets, and reports using Word, Excel, PowerPoint, and distribute them regularly.
- Coordinate firm events including seminars and retreats, managing logistics and vendor relations.
- Collaborate proactively with lawyers, leadership, and various departments to prepare for meetings and projects.
- Analyze contract proposals and conduct cost assessments aligning with budget constraints.
- Organize and facilitate meetings for departments, practice groups, committees, ensuring all logistics and materials are in place.
- Draft confidential and sensitive communications and documents on behalf of partners and leadership.
- Plan and manage complex travel itineraries including expense processing.
- Manage intricate calendars, resolve conflicts, and coordinate meeting specifics with stakeholders.
- Keep partners and leaders informed about upcoming duties and commitments, preparing materials ahead of time and following up as needed.
- Communicate on behalf of partners and leaders by responding to emails and phone calls, maintaining client and business contacts.
- Support financial aspects related to partners’ client engagements by partnering with billing and collections teams and providing budget updates.
- Maintain paper and electronic filing systems in compliance with firm policies.
- Perform additional duties as assigned.
Qualifications and Skills
- Minimum five years of experience providing superior administrative assistance to senior or C-suite executives.
- High School Diploma or GED required; Bachelor's degree in Business, Finance, or related field preferred.
- Outstanding communication, interpersonal, and time management capabilities with the ability to manage multiple projects and meet deadlines.
- Commitment to consistently high-quality performance and adaptability in fast-paced settings.
- Exhibit confidentiality, strong work ethic, positive attitude, and ability to navigate complex office dynamics.
- Advanced proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
Work Environment and Physical Demands
This role primarily involves sedentary work with occasional lifting of light objects up to 10 pounds. The position is hybrid, combining remote with in-office work at the New York office, with arrangements coordinated with management and subject to change.
