Role overview
Wing is looking for a high-performing Events Specialist to manage its presence at trade shows, industry conferences, and other events across North America. The role sits within M32 AI, a fast-moving startup-style team backed by leading Silicon Valley venture investors, and is focused on helping traditional service businesses through agentic AI.
This position is ideal for someone with 1 to 4 years of experience who enjoys logistics, can move quickly in a dynamic environment, and likes turning events into measurable business results. You will work closely with sales, marketing, and product teams to convert booth traffic, badge scans, and event activity into meetings, opportunities, and revenue.

Key responsibilities
- Research, assess, and shortlist conferences, trade shows, and industry gatherings that match target customers and revenue objectives, while maintaining a rolling 12-month event plan.
- Handle negotiations and contracts with organizers, venues, and vendors, including sponsorships, booth space, speaking opportunities, and extra services to make the budget go further.
- Manage the entire event lifecycle, from booth design, shipping, and marketing materials to lead-capture tools, scanners, audio-visual setup, catering, hotel blocks, and travel arrangements.
- Serve as the on-site lead for every event, including booth setup, teardown, troubleshooting, and ensuring the brand is represented professionally throughout.
- Prepare team members before each event by sharing goals, key talking points, target accounts, schedules, and logistics.
- Work with sales to schedule pre-event meetings, host customer dinners and on-site gatherings, and make sure all leads are collected, qualified, and followed up promptly.
- Coordinate pre- and post-event marketing campaigns with the marketing team, including email outreach, landing pages, paid promotion, and social content to increase booth visits and meeting bookings.
- Own event budgets across the full calendar, monitor spend, forecast accurately, identify risks early, and make trade-offs when priorities change.
- Set event KPIs and deliver clear post-event reporting covering leads, meetings, pipeline contribution, ROI, wins, gaps, and next-step improvements.
What we are looking for
- 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or technology environments.
- Proven ability to run events from start to finish, even if they were smaller in scale, with clear examples of outcomes achieved.
- Experience managing event budgets, including forecasting spend, tracking costs, and optimizing for return on investment.
- Comfort with defining KPIs and creating reports that connect event activity to pipeline and revenue.
- Strong interest in AI, with concrete examples of how you have used AI to improve or automate event marketing work such as research, outreach, reporting, content creation, or lead enrichment.
- Working knowledge of HubSpot on the CRM side.
- Strong project management skills to keep timelines, vendors, budgets, and many moving parts under control.
- Confidence negotiating with vendors and event organizers to secure favorable terms.
- Excellent communication skills, both written and verbal, with the ability to brief executives, coordinate teams, and engage prospects in person.
- Ability to stay composed and solve problems quickly when event issues arise.
- Willingness to travel 30% to 50% during busy event periods across North America, with possible travel to Europe as the company expands.
Location and work authorization
This is a fully remote position open to candidates living in the US or Canada. Because travel is a core part of the job, candidates should be based within about one hour of a major airport with frequent direct flights so event travel remains practical and cost-effective.
Qualifying US airport hubs include Atlanta (ATL), Boston (BOS), Charlotte (CLT), Chicago (ORD/MDW), Dallas (DFW), Denver (DEN), Detroit (DTW), Houston (IAH), Los Angeles (LAX), Miami (MIA), Minneapolis (MSP), New York (JFK/EWR/LGA), Philadelphia (PHL), Phoenix (PHX), San Francisco (SFO), Seattle (SEA), and Washington DC (IAD/DCA).
Qualifying Canadian hubs include Toronto (YYZ), Vancouver (YVR), Calgary (YYC), and Montreal (YUL).
Candidates near other major airports with strong direct connectivity to common event cities such as Las Vegas, Orlando, San Francisco, New York City, Chicago, and Austin are also encouraged to apply.

Nice-to-have experience
- Hands-on experience with event platforms such as Cvent, Splash, Bizzabo, or Goldcast.
- Background working with international events or external vendors.
