Job Overview

We are looking for a seasoned and detail-oriented Events Manager to oversee our Gala & Golf fundraising event from initial planning stages through to the event's conclusion. The successful candidate will handle vendor relations, event logistics, and the onsite experience that brings this major fundraising effort to fruition. Collaboration with an Event Assistant, an external event management company, auction team, and internal leadership is essential. In addition, this individual will aid in organizing other foundation events and initiatives, including ministry and travel logistics, along with various cross-departmental projects.

Key Responsibilities

  • Take full responsibility for the Gala & Golf event execution including timeline development and meeting project milestones promptly.
  • Monitor event expenses and assist with budget oversight alongside the Head of Events.
  • Lead logistical operations on event days, acting as the primary point-of-contact for onsite activities.
  • Coordinate closely with the contracted event management company for vendor management, production, and event flow.
  • Source, negotiate, and manage vendor partnerships such as venues, catering, AV/production, and photography services.
  • Organize guest registration, signage, seating arrangements, and manage smooth guest movement during events.
  • Supervise staffing and volunteer duties for events.
  • Identify and address logistical challenges proactively to maintain excellent donor experiences.
  • Support planning and execution of additional foundation events throughout the year including travel logistics for major events like Night to Shine.
  • Ensure that all event touchpoints from invitation through post-event follow-up reflect high standards of hospitality and donor appreciation.
  • Collaborate with the Donor Event Manager and Auction & Travel Specialist to address guest experience, giveaways, and VIP requirements.
  • Input and maintain accurate event data in the CRM system before and after events.
  • Work closely with multiple teams, including Project Management for budget and materials, and Marketing and Brand for promotional creative assets.
  • Maintain professionalism and confidentiality when interacting with donors, sponsors, and VIP attendees.

Candidate Qualifications

  • 3 to 5+ years’ experience in event management or planning, preferably within nonprofit, fundraising, hospitality, or corporate event settings.
  • Proven track record managing vendors, event timelines, and logistical details throughout event lifecycles.
  • Excellent project management capabilities with meticulous attention to detail and dependable follow-through.
  • Experience engaging with donors, executives, or VIP stakeholders is highly valued.
  • Ability to remain calm and solution-focused in fast-paced environments.
  • Strong written and verbal communication skills.
  • Exemplary professionalism and discretion.
  • Bachelor’s degree preferred though equivalent professional experience will be considered.
  • Flexibility to travel and work nontraditional hours including evenings and weekends in alignment with event schedules.
