Job description
Role Overview
This position is primarily remote with an option to work from offices in Dublin or London. It supports the EMEA region and requires travel approximately 25% of the time to assist with in-person events and initiatives.
Key Responsibilities
- Assist the Head of OpenAI Academy and Forum in EMEA with daily planning and execution of programming aligned with OpenAI's Global Affairs agenda.
- Plan and deliver both virtual and face-to-face events across the EMEA region, including training sessions, webinars, and panel discussions, while ensuring content is relevant and culturally tailored.
- Coordinate event logistics such as schedules, guest communications, vendor management, travel arrangements, and post-event follow-ups.
- Monitor event success by tracking key performance indicators, collecting participant feedback, and producing regular internal reports.
- Oversee comprehensive event strategies covering programming, logistics, budgeting, and execution.
- Manage content schedules for OpenAI Academy and Forum events online, aligning them with community needs and organizational goals.
- Collaborate extensively with internal teams—policy, events, communications, go-to-market functions—to maximize event impact.
- Develop engagement strategies to build a vibrant community online and at in-person events, while continuously analyzing engagement data to improve offerings.
- Create targeted event invitations using HubSpot and execute member segmentation driven by data insights.
- Handle detailed coordination for virtual and onsite events, including organizing event documentation, managing speaker materials, scheduling talks, and facilitating planning meetings.
- Manage all event-related workflows on the community platform Gradual, acting as the main liaison for event production, live streams, and ticketing arrangements.
- Work alongside teams to manage guest lists and provide on-site event support across priority regions in EMEA.
Candidate Profile
- Proven expertise in producing events, both virtual and in-person, with involvement in strategy development through on-the-ground execution.
- Passion for AI technologies and familiarity with automation tools related to agent workflows is a plus.
- Proficient in software such as Figma and HubSpot.
- Strong skills in content strategy, roadmap management, and delivering consistent, engaging community experiences.
- Excellent communication and teamwork abilities, capable of working cross-functionally and engaging with diverse community stakeholders.
- Adaptable and detail-oriented, effectively managing various projects amid shifting priorities.
- Fluency in English is required; knowledge of additional European languages is advantageous.
