Job description

Overview

An exclusive private estate located in Newport Beach is searching for a seasoned and capable Estate Manager to supervise all facets of residential management. The ideal candidate must be proactive, detail-focused, discreet, and responsive, capable of anticipating needs, managing shifting priorities, and performing exceptionally in a dynamic, high-standard environment.

Key Duties

  • Supervise daily household functions to ensure smooth operations, organization, and adherence to high standards
  • Manage household calendar and proactively identify daily needs and priorities
  • Coordinate and oversee vendors, contractors, and service providers for both internal and external estate requirements
  • Supervise maintenance, repairs, construction, and renovation efforts, including managing bids, contracts, timelines, and quality assurance
  • Create, update, and enforce estate operating procedures and documentation
  • Handle household budgets, inventory management, purchasing, personal shopping, and expense monitoring
  • Communicate and collaborate with the Principal’s office concerning scheduling, travel arrangements, events, and special projects
  • Welcome guests and assist with both formal and casual event hosting and service
  • Manage vehicle scheduling, maintenance, records, and relevant documentation
  • Maintain current household contacts, vendor directories, and operational records
  • Organize and oversee event planning and coordination as necessary
  • Perform errands for both the household and the Principal when requested
  • Be available to address urgent matters after hours if required

Candidate Requirements

  • Preferred educational background or degree in project management, estate management, facilities, culinary arts, or hospitality
  • At least three years of experience in managing private estates and/or luxury hotels, including supervising staff, vendors, and service providers
  • Knowledgeable in building operations, facilities management, and handling luxury assets such as fine art and antiques
  • Exceptional organizational skills, punctuality, strong time management, keen attention to detail, ability to multitask, and thorough follow-through
  • Experience with formal and informal dining and beverage service, plus event management expertise
  • Must reside locally in Newport Beach and be available to respond promptly to urgent household or property issues
