Role overview

This position reports to the Director of Human Resources and is responsible for overseeing staff dormitory operations. The main focus is to keep employee housing safe, clean, and aligned with company dormitory rules and standards.

Employee housing management

  • Allocate rooms to staff on arrival based on the dormitory enrollment request.
  • Handle staff check-ins and check-outs using the dormitory check-in/check-out form, including issuing linens and room keys and completing clearance on departure.
  • Inspect dormitory common areas and staff rooms every day, resolving cleanliness issues as they arise.
  • Plan and carry out recurring cleanliness inspections for the dormitory.
  • Coordinate with external vendors for regular pest control services.
  • Apply dormitory rules and regulations consistently.
  • Escalate serious disciplinary matters to the Director of Human Resources and help educate employees when needed.
  • Keep duplicate room key records in line with policy.
  • Coordinate inspections of fire equipment and room electrical facilities with contractors and maintain the required records.
  • Work with the Loss Prevention Director to organize dormitory fire drills on a regular basis.
  • Enforce the dormitory visitor policy.
  • Stay updated on dormitory contract terms and report or follow up on any deviations.
  • Prepare the dormitory staff duty roster according to the required schedule and submit it for approval.
  • Maintain records of dormitory matters such as maintenance requests, special employee requests, and check-in/check-out details.
  • Update the rooming list weekly and send it to Human Resources.
  • Support the Director of Human Resources with the linen purchase and replacement plan on schedule.
  • Coordinate with Laundry for weekly linen changes.
  • Keep enough stock of dormitory supplies such as chemicals and garbage bags.
  • Maintain inventory for all dormitory assets at the property, including bunk beds, wardrobes, linens, electrical utensils, and chemicals.

Human resources support

  • Encourage employee feedback through an open-door approach.
  • Raise employee satisfaction concerns with the department manager and Human Resources team.
  • Take part in progressive discipline processes for employees.

Additional responsibilities

  • Share information clearly with supervisors, colleagues, and direct reports by phone, in writing, by email, or face to face.
  • Review information carefully, assess outcomes, and select practical solutions to problems.
  • Keep executives, peers, and subordinates informed with relevant updates in a timely way.
